As Receptionist you are the first point of contact for our international clients and represent the firm in a first contact
Key Tasks- Handling of switchboard, forwarding calls, taking messages, screening phone calls- Welcoming visitors, accompanying them to the conference rooms, and informing their host- Administrative support for visitors (printing, copying, taking care of special requests)- Handling visitors' badges- Assistance with hotel/restaurant bookings, travel arrangements- Reservation of conference rooms, making updates and changes- Ordering catering and liaising with the catering and secretaries- Set up meeting room in absence of catering- Checking conference rooms- Liaising with IT - Video conference set-up and checks- Reservation of transport such as limousines and taxis- Organizing all sorts of courier services (T Verts, T Bleus, DHL)- Expediting mail via Bpost, including registered letters- Order flowers and gifts
key strengths
Education/languages- Good administrative skills, preferably with a former experience as receptionist- Excellent verbal and written communication in English and French or Dutch. Knowledge of German or the other national language is a valuable asset- Good technical skills to include fast, accurate drafting and typing with experience of Windows based packages including Word, Excel, PowerPoint and Outlook
Additional qualities/skills- Reliable, flexible and helpful- Cheerful and approachable- Positive, professional attitude, and able to remain calm under pressure and to tight deadlines- Able to work on own initiative and be able to solve problems quickly and effectively- Good communication skills- Good organisational skills and attention to details- Team player, able to build good working relationships with colleagues- Sense of humour
