We’re an important Italian Group specialized in the Catering Industry. Our international subsidiaries are today located in Belgium and in The Netherlands. In line with our development plan, we are looking for a facility manager responsible for handling our company's ongoing projects in Belgium.
This is a diverse field with a range of responsibilities, which are dependent on the structure and size of the organisation. You'll be involved in both strategic planning and day-to-day operations, particularly in relation to buildings, premises and start up projects.
The international professional environment is made by a direct contact with every director of the Company and with our clients.
Our Facility Manager works with various team members, and you'll report to the Head of Sales & Marketing of our Belgian Company.
Important for us your capability to stay always oriented at the profitability of the company.
Previous experience in the Facility project management is a must.
**Your Role**:
As a facilities manager, you'll be responsible for the management of services and processes that support the core business of our organisation. You'll ensure that best practices are followed for maximum efficiency and that the most suitable working environment is attained for its employees and their activities.
This is a diverse field with a range of responsibilities, which are dependent on the structure and size of the organisation. You'll be involved in both strategic planning and day-to-day operations, particularly in relation to buildings, premises and start up projects.
A key part of your role is to identify and mitigate risks which may impact successful delivery of projects and the operational daily activity of our business network.
You need to manage a wide variety of activities as to guarantee a perfect execution of the programs, including construction and maintenance. You also are a point of contact between the location teams and the suppliers.
You use project management tools to plan, monitor and regularly report to the Management on the progresses of projects and the operational efficiency of our Points of Service.
Your areas of responsibility include:
- Building and grounds maintenance.
- Cleaning service where required
- Health and safety.
- Procurement and contract management.
- Security where required.
- Space management.
- Utilities and communications infrastructure.
**Responsibilities**:
- Prepare documents to put out tenders for contractors.
- Supervise and coordinate the work of contractors.
- Investigate the availability and suitability of options for new premises.
- Calculate and compare costs for required goods or services to achieve maximum value for money.
- Plan for future development in line with strategic business objectives.
- Manage and lead change to ensure minimum disruption to core activities.
- Direct, coordinate and plan essential services such as reception, security, maintenance, mail, archiving, cleaning, catering, waste disposal and recycling. Where required.
- Ensure buildings meet health and safety requirements and that facilities comply with legislation.
- Keep staff safe.
- Plan best allocation and utilisation of space and resources for new buildings, or re-organising of current premises.
- Check that agreed work by staff or contractors has been completed satisfactorily and follow up on any deficiencies.
- Coordinate and lead one or more teams to cover various areas of responsibility.
- Use performance management techniques to monitor and demonstrate achievement of agreed service levels and to lead on improvement.
- Respond appropriately to emergencies or urgent issues as they arise and deal with the consequences.
- Predict resources needed to reach objectives and manage resources in an effective and efficient manner.
- Prepare budget based on scope of work and resource requirements.
- Prepare a detailed project plan to schedule key project milestones, work-streams & activities.
- Manage contracts with vendors and suppliers by assigning tasks and communicating expected deliverables.
- Prepare status reports by gathering, analysing, and summarizing relevant information.
- Establish effective project communication plans and ensuring their execution.
- Facilitate change requests to ensure that all parties are informed of the impacts on schedule and budget.
- Identify and develop new opportunities with clients when required or necessary.
- Coordinate internal resources and third parties/vendors for the flawless execution of projects.
- Manage the relationship with clients and all stakeholders.
- Establish and maintain relationships with third parties/vendors.
- Create and maintain comprehensive project documentation.
**Requirements and Skills**
- Proven experience in facility management (3-5 years).
- Proven ability to complete projects according to outlined scope, budget, and timeline.
- Interpersonal, relationship-building and networking skills.
