Coordinator – Benelux Commercial SiteWe are seeking an experienced Administrative Coordinator to provide operational support to our Benelux commercial site, home to around 80 employees. This position has arisen due to increased workload and will primarily support the Immunology PVU, with responsibilities extending across other areas when needed. You will join a team of 4 to 5 coordinators and report directly to the manager, focusing on day-to-day operational tasks rather than strategic activities.Key Responsibilities:Organise internal and external meetings, congress support, and events.Ensure compliance with processes for contracts, logistics, invitations, grants, and sponsorships.Manage administrative flows using systems such as ANFs, Smart Simple, and ORBIT.Collaborate with Finance to ensure compliant financial handling.Arrange travel and accommodation, manage shipments, and maintain collaboration sites.Provide first-line support to local teams, including account managers and business unit leads.Act as backup for other area administrators during peak periods.Requirements:Minimum of 5 years' total experience, including prior experience in similar coordinator or administrative roles.Fluent English (mandatory).Pharmaceutical industry experience.Strong organisational and coordination skills with the ability to manage processes in a matrix organisation.Proficiency in Microsoft Office; SAP knowledge is an advantage.Service-minded, structured, and able to prioritise effectively.Bachelor's degree (minimum).Desirable:Knowledge of French and/or Dutch.Executive PA or project management expertise.Work Model: Hybrid – two days on-site per week (full remote not permitted).
