The candidate will join the Global Engineering function as a
Digital Portfolio Support Officer (PSO), supporting the management of a digital
project portfolio covering engineering facilities, health & safety,
wellbeing, and environmental sustainability initiatives. The role is positioned
as the operational right hand of the portfolio lead, ensuring portfolio
governance, reporting quality, project follow-up, and coordination across
multiple stakeholders. The position is support-oriented rather than project
leadership focused and requires a candidate who can work autonomously, execute
tasks with limited supervision, and deliver review-ready outputs.
Team info:
The candidate will work in a matrix organization and
interact with a broad network of project managers across approximately 14
active projects, potentially growing to around 20 stakeholders. The role
requires frequent collaboration with project managers, portfolio stakeholders,
and leadership teams to support portfolio reviews, governance activities,
prioritization processes, and project communications. Daily interactions will
take place in both French and English speaking environments.
Day to day:
- Follow
up with project managers on project status, milestones, deliverables,
resource allocation, and budget tracking.
- Prepare
and consolidate portfolio review materials for portfolio prioritization
meetings, monthly status reviews, and governance committees.
- Support
the preparation, facilitation, and follow-up of portfolio and governance
meetings.
- Maintain
dashboards, KPIs, portfolio trackers, status reports, and reporting
documentation.
- Create
leadership-ready presentations and portfolio review content with clear
messaging and storytelling.
- Monitor
project backlogs and progress through tools such as Azure DevOps.
- Prepare
communication packages, newsletters, project updates, and slide decks.
- Maintain
and update SharePoint content, documentation repositories, templates, and
department information.
- Ensure
documentation is properly prepared, versioned, archived, and accessible.
- Support
portfolio governance compliance and continuous improvement initiatives.
- Contribute
to resource planning activities and portfolio capacity reviews.
- Proactively
chase stakeholders across multiple communication channels to ensure timely
updates and actions.
Requirements
- Typically
5-8 years of experience minimum in Project Coordination, PMO, Portfolio
Support, or similar project governance environments.
- More
senior profiles can be accepted provided they are comfortable with a
support-oriented role rather than a portfolio leadership position.
- Strong
track record of autonomous execution and stakeholder coordination is
expected.
- Experience
in PMO, Project Coordination, Portfolio Support, or project governance
activities.
- Strong
organizational, planning, and follow-up skills.
- Ability
to work autonomously with limited supervision and deliver high-quality
outputs.
- Excellent
stakeholder management and communication skills.
- Fluent
English and French (minimum professional working proficiency in both
languages).
- Advanced
proficiency with the Microsoft ecosystem, particularly PowerPoint and
Excel.
- Ability
to build executive-level presentations and adapt communication to
different audiences, including leadership.
- Experience
maintaining reporting dashboards, KPIs, trackers, and portfolio
documentation.
- Strong
analytical mindset with attention to detail.
- Comfortable
challenging stakeholders and proactively following up to obtain
information.
- Experience
working with project management methodologies (Agile, Waterfall, or hybrid
approaches).
- Experience
with SharePoint, Teams, and document management practices.
- Experience
with Planisware.
- Exposure
to Azure DevOps, Jira, or similar tracking tools.
- Familiarity
with Power BI and the ability to extract, understand, and analyze
information from dashboards.
- Knowledge
of digital transformation, AI-related initiatives, or digital project
environments.
- Experience
within pharmaceutical, life sciences, GxP, or regulated environments.
- Bachelor’s
degree in Business, IT, Engineering, or a related discipline.
- Certifications
such as Prince2 Foundation, PMI CAPM, or Agile Fundamentals.
- Experience
supporting communication plans, newsletters, or portfolio communication
packages.
