About the Role
We are seeking a highly organised and detail-oriented Cyber Security Operations Support Specialist to support the daily operations of a NATO Branch based in Mons, Belgium. The successful candidate will provide comprehensive administrative, organisational, and coordination support, ensuring the effective management of personnel administration, official travel, procurement requests, meetings, documentation, and resource tracking. The role requires excellent communication and organisational skills, strong attention to detail, and the ability to handle sensitive and confidential information in a professional environment. Familiarity with IT and Cyber Security operations will be considered a strong advantage.
Key Responsibilities
• Coordinate and administer official travel arrangements.
• Support personnel onboarding and offboarding activities.
• Monitor training requirements, requests, approvals, and follow-up actions.
• Manage the Branch Head’s calendar, including scheduling, prioritisation, and coordination of meetings and engagements.
• Organise Branch-level meetings, prepare agendas, record minutes, maintain action logs, and follow up on decisions.
• Maintain decision, action, and follow-up trackers.
• Draft, review, and coordinate internal communications on behalf of the Branch Head.
• Act as the primary administrative point of contact for cross-branch coordination and enquiries.
• Track service delivery milestones, project kick-off dates, reviews, deliverables, and final reports.
• Raise and monitor purchase requests and related administrative activities.
• Liaise with customers and internal stakeholders regarding travel, procurement, and resource allocation.
• Support resource time tracking, reconciliation, and reporting.
• Maintain accurate records and information across relevant systems and platforms, including SharePoint, Confluence, Jira, ServiceNow, Power BI, and Excel.
• Provide additional administrative and coordination support in line with the Branch’s mission and operational requirements. Requirements & Qualifications
• Higher secondary education combined with relevant professional experience in administration, business support, office management, information management, or a related field.
• Proven experience in administrative or office support roles, including document preparation, records management, coordination, and data maintenance.
• Excellent written and spoken English, meeting or exceeding NATO STANAG 6001 Level 3 – Professional Proficiency.
• Advanced proficiency in Microsoft Word, including document formatting, templates, styles, tables, Track Changes, and document review.
• Good proficiency in Microsoft Excel, including data management, sorting and filtering, basic formulas, and maintenance of tracking spreadsheets.
• Good proficiency in Microsoft PowerPoint for preparing presentations and briefing materials.
• Strong working knowledge of Microsoft Outlook and Teams for communication, scheduling, and collaboration.
• Experience with SharePoint or similar document management systems, including document repositories and version control.
• Ability to work effectively with IT service management and ticketing systems, including creating, monitoring, and following up on service requests.
• Strong organisational and time-management skills, with the ability to manage multiple priorities, deadlines, and follow-up actions.
• Excellent proofreading, document quality assurance, and attention-to-detail skills. Desirable Experience & Knowledge
• Experience supporting IT, Cyber Security, technical, or other operational environments.
• Experience in personnel administration and onboarding processes.
• A good understanding of Cyber Security principles, concepts, and terminology.
• Familiarity with Penetration Testing and Vulnerability Assessment terminology and reporting processes.
• Ability to review, format, proofread, and quality-check Cyber Security assessment reports while preserving their technical meaning and structure.
• Awareness of the sensitive and confidential nature of Cyber Security information and the importance of appropriate information-handling practices.
