What we're looking for Atelier Wen is looking for a Finance & Admin Manager to own and build our finance and administrative function from the ground up. Today, parts of this work sit with the founders, the operations team and external providers. We want one person to bring it together, optimise what needs to be optimised, and set up the systems, reporting and controls a fast-growing watch brand needs. This is a hands-on role with real ownership. You'll report to the Head of Operations and work closely with him and the founders on budgeting, planning and strategic decisions. Responsibilities Own and build Atelier Wen's finance and administrative function from the ground up, including:
• Accounting: Own day-to-day bookkeeping, reconciliations, invoicing and the monthly and quarterly close. AP and AR end to end management.
• Inventory & cost accounting: Establish accurate inventory, WIP, COGS and landed-cost accounting across components, production batches and finished watches.
• Reporting, FP&A & financial controls: Produce management accounts, budgets, cash-flow forecasts and projections, with analysis of revenue, margins and performance by product and channel. Design and implement the systems, processes and controls behind all of the above, including expense management. A major early objective will be cleaning up historical records and putting scalable processes in place.
• Payroll & compliance: Manage payroll/MPF and coordinate tax, statutory filings, audits and other regulatory requirements with external providers where appropriate.
• Corporate administration: Own or coordinate government processes, grant applications, IP/trademark administration, insurance, company administration and other legal/compliance workflows.
• Automation & continuous improvement: Proactively identify opportunities to automate with AI manual finance/admin work and improve how the company operates. Qualifications Minimum Qualifications
• Qualified accountant (HKICPA, ACCA, ACA, CPA or equivalent)
• 5 to 10 years of relevant experience, with a track record of independently owning a company's finance function
• Strong hands-on accounting fundamentals: month-end close, reconciliations, AP/AR and management accounts
• Comfortable with budgeting, forecasting, cash-flow modelling and management reporting
• Strong systems and process mindset: able to build processes, not just operate existing ones
• Highly proficient with Xero and Excel/Google Sheets
• Comfortable in a small, entrepreneurial company, switching between high-level financial analysis and hands-on administrative work in the same day
• Excellent attention to detail, organisation and ownership
• Comfortable adopting automation, AI and new finance tools
• Strong English Preferred Qualifications
• Experience with inventory and physical products, particularly in luxury, watches, jewellery, retail, consumer goods or e-commerce
• Experience with cost accounting for manufactured goods (components, batches, landed cost)
• Experience setting up or overhauling finance processes in an early-stage or scaling business
• Familiarity with Hong Kong grant schemes, IP administration or cross-border trade compliance (HK, CN, EU, US)
• Cantonese and/or Mandarin Location
