Within ADE, the Commercial team is responsible for spotting business opportunities and handling the preparation of tenders. To support their daily activities, we are seeking an Administrative Assistant, starting as soon as possible. Position Summary Your
key responsibilities
• Act as a central administrative support point across ADE and help improve internal processes.
• Support business development and project teams with administrative and compliance-related tasks.
• Coordinate multiple administrative processes simultaneously and keep deadlines on track.
• Perform quality checks and ensure documents meet internal and client requirements.
• Manage shared mailboxes and route requests to the right colleagues.
• Collect, organize, review, and file administrative documents with a high level of accuracy. Candidate Profile Must have:
• Degree as Executive Assistant, Secretary, Commercial Administration or related field, or similar by experience
• Minimum 1 year of relevant experience
• Excellent written and verbal communication skills in French and English (C2)
• Excellent organizational, prioritizing, multitasking skills
• Proactive, rigorous and detail-oriented
• Good stress-resistance to handle challenges and deadlines
• Team worker with strong interpersonal skills
• Fully proficient in MS Office (especially Word, Outlook and Excel)
• Experience with ethical use of AI tools Nice to have:
• Experience handling EU contracts
• Experience working in consultancy
• Experience working in an international environment
• Knowledge of Spanish, Portuguese, Dutch, Arabic, or other languages
