The role focuses on the day-to-day coordination and administrative management of flagship educational programs aimed at supporting medical doctors in low-resourced countries.The successful candidate will work in a fast-paced, international environment and contribute directly to the effective delivery of programs with a strong global impact.Key ResponsibilitiesProgram CoordinationServe as a primary point of contact between program applicants, internal committees, and external partnersRespond to general inquiries related to programs and applicationsOrganize online open calls for doctors and centers applying for grantsMonitor and follow up on applications, including evaluation, scoring, and feedback to applicantsLiaise closely with program chairs, external partners, and internal departmentsFollow up on funded programs and activities, including payment coordination and collection and processing of reportsMaintain regular interaction with grant recipients to identify success stories and encourage long-term engagementSchedule and organize meetings (online and in-person), including logistics, agendas, and minutesManage governance-related processes, including the identification and onboarding of new committee members or leadersReporting, Data & Digital ToolsSupport reporting and data integration into the internal databaseAssist with data cleaning and ensure information remains accurate and up to dateContribute to the development of dashboards and program statisticsDraft activity reports for senior leadership (activities, expenditures, challenges, next steps)Maintain and further develop online application platformsAdministrative SupportProvide ad-hoc administrative support to members of the Programs team as neededSkills & QualificationsStrong motivation to contribute to an organization with a global mission and social impactSolid project management skills with the ability to design, implement, and improve processesHigh level of attention to detailNative or near-native written and spoken EnglishExcellent communication, diplomacy, and interpersonal skillsAbility to coordinate a wide international network of experts and volunteersMinimum 2/3 years of experience in operational and administrative roles in an international environment, preferably within a non-profit, medical society, or healthcare-related organizationFull computer literacy with excellent knowledge of MS Office; experience with web-based administration tools is a strong assetExcellent time management and organizational skills, with the ability to handle multiple priorities autonomouslyProfileComfortable working in a fast-paced, international, and multicultural environmentHighly organized, efficient, and resilient under pressureFlexible, proactive, and committed team playerDigitally savvy with a hands-on, problem-solving mindsetDemonstrates a "can-do" attitude rooted in accountability, collaboration, inclusiveness, and continuous improvementWhat We OfferA central location in BrusselsA collaborative, international, and innovative work environmentMeaningful work with global impactI
