Executive Assistant to the Senior Vice President Asset Delivery

Mission

As the Executive Assistant to the Senior Vice President Asset Delivery & Digital, your mission is to provide high-level administrative support, ensuring the smooth operation of the Asset Delivery & Digital direction.

You will manage the Senior Vice President's schedule, organize travel arrangements and handle confidential information, acting as a key liaison between the Senior Vice President and both internal and external stakeholders.

This role requires excellent organizational skills to ensure that all administrative tasks are handled seamlessly, a proactive approach and strong attention to detail.

Responsibilities

  • Manage professional scheduling for the Senior Vice President, including agendas, emails and phone calls
  • Coordinate complex scheduling and calendar management, ensuring seamless communication and information flow to senior executives
  • Draft, proofread, and handle confidential correspondence, emails, and official documentation
  • Edit and amend presentations, oversee the translation process, and monitor quality
  • Provide comprehensive administrative support, including document preparation, meeting minutes, and maintaining digital filing systems
  • Organize and prepare materials for executive meetings, including agendas, reports, and presentations
  • Organize and manage travel logistics, including accommodations and transportation
  • Manage expense reports and invoice processing
  • Assist in organizing and coordinating off-site meetings and events
  • Demonstrate strong professionalism and act as a positive ambassador for Fluxys

Qualifications

  • Bachelor's degree in Office Management, Business Administration, or related field
  • Minimum of 10 years of experience in an administrative role, preferably as an Executive Assistant
  • Exceptional organizational skills with the ability to prioritize and multitask effectively
  • Strong proficiency with the Microsoft Office Suite and aptitude for learning new software and systems
  • Proactive and pragmatic approach with a strong problem-solving mindset
  • Flexibility and adaptability in a fast-moving and international environment
  • Exceptional thoroughness and attention to detail
  • Discretion and ability to handle sensitive information with the utmost confidentiality
  • Proficient in written and verbal communication in Dutch and French, with a strong command of English
