ROLEAt BVI.EU, you will have the opportunity to join a dynamic environment full of ambition and growth opportunities. As Office Assistant, you will be the heart of our office organisation and ensure that everything runs smoothly. You are responsible for welcoming visitors, managing office supplies and supporting administrative processes. You work closely with different teams within the organisation and external partners to create an efficient and hospitable working environment.
With your proactive attitude, eye for detail and customer-oriented approach, you are the driving force behind a well-organised office. Thanks to your versatility and hands-on mentality, you contribute to the daily operational and administrative support, enabling everyone to function optimally.
- Welcoming visitors at headquarters and managing meeting rooms;
- Handling incoming phones, incoming emails and correspondence;
- Ordering office supplies (office equipment, administration, etc.) and preparing order forms;
- Electronic archiving of general, legal and technical documents;
- Organising internal events and distributing and managing gifts;
- Keeping information up to date digitally in the CRM (Hubspot) (address files,…);
- Uploading and structuring documents and templates on the SharePoint;
- Administrative support for Finance team (follow-up process signing documents,…);
- Perform ad-hoc tasks for the management team (catering,…);
- Follow up on office maintenance and manage office facilities.
- Junior profile with initial work experience;
- You hold at least a bachelor's degree in Office Management or equivalent through experience;
- Good knowledge of MS Office and Google;
- You have excellent communication skills (written and oral);
- You are organised, detail-oriented and can handle multiple tasks & priorities simultaneously;
- You work carefully, can handle deadlines and have a practical attitude;
- You enjoy working in a team, but can also work independently;
- You are bilingual Dutch/French, English is a plus;
- You are motivated, flexible and assertive;
- A positive mindset / proactive.
