Function

As an Administrative and Financial Assistant in the Asset, Stock & Purchase (ASP) department, you will have a role that combines financial, administrative, and technical responsibilities as part of a team of eight people.

The ASP department is part of the IT Infrastructure, Datacom and Security (IT IDS) department, and provides cross-functional support services for all of the IT departments.

Your main activities will include:

  • Providing support to the IT Budget & Operational Services Manager in monitoring the IT IDS department's budget (€50M/year):
    • Extracting and processing information from SAP;
    • Identifying any discrepancies and suggesting corrective measures;
    • Monitoring the effective application of procurement, financial and accounting rules (asset management, automated adjustment);
    • Checking that orders, invoices and credit notes are correctly allocated;
    • Monitoring Obligos (= amounts still open on Purchase Orders);
    • Creation of periodic budget reports.
  • Reporting to the Human Resources Payroll department on benefits in kind and personal contributions.
  • Coordinating the IDS department's external consultants:
    • Monitoring the reporting of services in our (FIORI) tool and approval of same by the various managers;
    • Recording our on-call service's monthly benefits in SAP;
    • Dealing with any billing problems.
  • Being able to take over certain administrative tasks from other members of the team depending on the workload, including:
    • The procurement of goods and services for the IDS department, and monitoring of the entire Purchase-to-Pay (P2P) cycle.
    • Managing the mobile phone and SIM card inventory;
    • Managing IT licences and physical IT stock.

Your Profile
  • You hold a bachelor's degree in financial management or business management and/or have a minimum of three years' professional experience in a financially oriented role;
  • You have a strong analytical and critical mindset
  • Administrative rigour comes naturally to you (compliance with rules and procedures);
  • You are meticulously and thorough with an affinity for numbers; (no detail escapes you);
  • Ability to work independently and proactively;
  • Good communicator with excellent team spirit;
  • Good stress management and compliance with deadlines (prioritisation);
  • Strong knowledge of Excel and proficiency in Microsoft Office suite and SAP;
  • French or Dutch with good knowledge of the other language.
  • This role requires you to work in an international environment where fluency in English is a must.
