What You'll Do
As a Platinion Executive Assistant, you will be the trusted right hand of your senior executives, providing them with comprehensive support to successfully service BCG Platinion clients. You will act as gatekeeper of their time, increase their work efficiency and help them drive business performance. You will represent BCG Platinion through professionalism and a unique level of service.
You should demonstrate enhanced competence in the following areas: extensive agenda management, proactive follow‑up on client development, end‑to‑end worldwide travel arrangements, networking, and proofreading. You will partner with other Assistants to ensure synergy in team projects and processes and collaborate with other Business Service Teams.
As part of the role, you will develop a continuous and strong understanding of BCG Platinion’s strategies and broader priorities. You are expected to develop a commercial understanding in line with your Managing Director’s responsibilities and areas of focus.
Job Responsibilities
- Develop a commercial understanding aligned with MD responsibilities and focus areas.
- Manage highly complex calendars and political sensitivities to schedule client meetings, case team meetings, and events; effectively prioritize client needs.
- Plan and manage complex travel, logistics, itineraries, including timely procurement of visas and other travel documentation.
- Prepare and submit time and expense reports within a timely period.
- Track, update, and manage client contact information and commercial pipeline.
- Co‑operate with other EAs and staff to ensure casework is effectively coordinated.
- Proactively manage internal commitments and prioritize client and internal commitments.
- Provide ad‑hoc cover for colleagues across Platinion London, Amsterdam, Brussels, and Paris offices.
- Care for team wellbeing and raise issues to appropriate channels with sensitivity.
Networking
- Build and maintain strong relationships with key client counterparts.
- Act as a thought partner for business development planning; manage networking cadence for MD throughout case work and annually.
- Deeply integrate within a given Practice Area; assist with community building and event organization.
Proactive Time Management
- Understand priorities, proactively prioritize and screen all incoming time‑related requests.
- Use business judgment to solve problems independently without MD interaction.
- Provide options and views on pros/cons for difficult issues to MD.
Marketing
- Proactively manage contacts in Microsoft Dynamics; review and validate contacts for marketing opt‑in/opt‑out campaigns with executives.
- Monitor latest developments to identify changes in key roles at clients.
- Support client research for new projects.
- Develop understanding of relevant insights and materials to share with MDs and clients.
Event Coordination
- Coordinate internal and external Platinion Brussels events; lead end‑to‑end planning and execution, venue sourcing, budget management, finance processes, billing, logistics, communications, and attendee management.
- Collaborate closely with the Events Team and Brussels Office Lead to ensure successful delivery of initiatives.
- Participate in bi‑weekly Events Team meetings and provide updates via Slack and other communication channels.
- Present event and affiliation updates during monthly leadership meetings.
What You'll Bring
- Previous personal/executive assistant experience in the professional services sector.
- Excellent administrative & organizational skills.
- Highly computer‑literate; advanced proficiency in Microsoft Office Suite, Outlook, PowerPoint, Word, Zoom, Teams.
- “Can do” attitude and flexible mindset.
- Detail‑driven.
- Ability to multi‑task, prioritize, and manage e
