We are seeking an experienced Executive Assistant to support the C-Level leadership team of an international organization based in Brussels.

This is a predominantly administrative and coordination-focused role. The majority of the position involves managing executive calendars, organizing meetings and travel arrangements, coordinating communications, preparing documentation, and ensuring the smooth day-to-day functioning of executive activities. Key Responsibilities

  • Manage complex and frequently changing executive calendars.
  • Coordinate meetings, board meetings, and senior leadership appointments.
  • Organize international business travel, including itineraries, accommodation, and logistics.
  • Prepare presentations, reports, meeting materials, and executive documentation.
  • Act as a key point of contact for internal and external stakeholders.
  • Screen, prioritize, and coordinate communications on behalf of senior executives.
  • Handle highly confidential and sensitive information with professionalism and discretion.
  • Follow up on actions, deadlines, and deliverables to ensure timely execution.
  • Support the organization of leadership meetings, executive events, and other administrative initiatives.
  • Anticipate executive needs and proactively facilitate the efficient management of daily activities.

Candidate Profile

  • Proven experience as an Executive Assistant supporting C-Level executives or senior leadership teams.
  • Strong administrative background with expertise in calendar management, travel coordination, and executive support.
  • Excellent organizational skills and ability to manage multiple priorities simultaneously.
  • Experience working in an international environment and across different time zones.
  • Ability to work independently while maintaining a high level of accuracy and attention to detail.
  • Professional, discreet, and trustworthy when handling confidential matters.
  • Strong communication and interpersonal skills.
  • Proactive mindset with a solution-oriented approach.
  • Fluent English, both written and spoken.
  • Advanced proficiency in Microsoft Office and digital collaboration tools.
