We are looking for a Document Management Specialist to work at RHEA Group’s headquarters in Wavre, Belgium.

The Document Management Specialist (EDMS Administrator) is an experienced document control administrator who is responsible for overseeing document and data management within RHEA.

**Tasks and Activities**:
The scope of work will include:

- Provide business and systems analysis, assessment; gather and document business requirements and workflow processes; conceptualize, recommend, demonstrate and implement technology solutions.
- Design, configure, implement and maintain Microsoft SharePoint Online solutions, with an emphasis on document management and records management features; perform technical and content-related tasks.
- Regularly reviewing, configuring and cleaning-up user accounts, permission groups, sites and content to ensure stability and usability of the Site Collection and to safeguard important data.
- Managing and maintaining permission groups, security settings and site access.
- Coordinating with IT Security teams to develop secure access and information protection through conditional access, DLP, Sensitivity Labels and policy, Insider risk management.
- Demonstrate effective ECM design concepts including taxonomy and metadata configuration to create easily searchable content.
- Report progress to users, colleagues and management through formal written communications.
- Create user guides and technical support documentation and maintain an online knowledgebase.
- Provide technical support, training and consulting services to end-users.
- Leverage ticketing system to track issues and project tasks.
- Conduct needs analyses and feasibility studies for potential technical solutions.
- Conduct research, review, test and evaluate potential new products or enhancements; write summaries and reports recommendations.
- Provide leadership and planning of technical software implementation processes; perform analysis and coordination of activities in support of projects.

**Skills and Experience**:
The following skills and experience are mandatory:

- A Bachelor’s degree from a recognized institution (or equivalent qualification) in an associated field with four years’ relevant experience.
- Highly proficient in the use of modern activities and resource management support tools/databases of standard MS office automation support software packages, including the advance usage of MS SharePoint.
- Understanding of Records Management, including life cycle, retention scheduling, disposition and compliance.
- Excellent collaboration, interpersonal and communication skills.
- Demonstrated ability to troubleshoot, problem-solve and implement solutions.
- Understanding and experience with methodologies for identifying, gathering and documenting business processes and requirements.
- Expertise in developing and implementing MS SharePoint Online solutions.
- Proven experience in documentation management.
- Fluent in English, both written and spoken.

The following skills and experience would be highly desirable:

- Fluent in French, both written and spoken.
- Experience working in the space or cybersecurity domains.
