Our client, active in the insurance sector, is looking for a Procurement and Facility Administrative Assistant.
**Description**

As a Procurement & Facility Adminsitrative Assistant, you will provide administrative support within the Procurement and Facility Management department under the direction of the Facility Management Coordinator.

You will perform various daily administrative tasks:
In support of Facility Management:

- You will establish and follow up on the management of budgets, the different budget envelopes allocated and the orders of the Facility Management department.
- You take care of the administrative tasks in preparation of the payments made by the Finance department.
- You assist the Facility Management Coordinator and the Head of Procurement and Facility Management in managing contacts with suppliers and in negotiating contracts for basic supplies.
- You are responsible for the management of the stock of supplies and furniture. You will be responsible for monitoring the performance of subcontractors and service providers (security, cleaning, reception, catering, etc.) and you will be in charge of managing the allocation of office space in support of your manager. In collaboration with your Facility colleagues, you ensure the back-up of certain logístical tasks of Facility Management such as reception, copy center, mail, etc.
- You write procedures and instruction manuals and manage the electronic administration.

In support of Procurement Management:

- You provide support to the Procurement Specialists in the administration of Procurement, management of supplier contacts and publications (manage the publication, check the conformity of the offer, control the financial means, etc.).
- You are a reference person for the fleet management: You ensure the operational follow-up of the fleet management of the pool cars, the executive cars.
- You are in close contact with the colleagues of the HR department (Compensation and Benefits) and the leasing company for the management and negotiation of offers, questions and/or requests. You offer the drivers the necessary solutions.

**Profile**
- You have a secondary school diploma or a bachelor's degree and you have a first relevant experience, preferably in an equivalent function.
- You are a native speaker of French and have a good knowledge of the other national language. Knowledge of English is a plus.
- You are meticulous in your tasks, which allows you to handle files from A to Z.
- You show a proactive approach in the organization and management of your responsibilities. You are a team player and have a customer-oriented attitude.
- You have a good command of MS Office and are willing to learn to use other computer tools.
