We are looking for an Office Support Specialist to take care of our Zaventem office. This is a half time position during morning office hours.

In this role, we are looking someone with the following competencies & capabilities:

- Extensive knowledge of facilities and services offered in order to solve all upcoming request timely and effectively
- Basic knowledge of how to create and manage plans, set goals and follow up
- Good knowledge about workplace operations trends and innovations that help IKEA develop workplace operations in a complex and changing environment
- Good knowledge of software and technical solutions used in working and meeting environment.
- Proven ability to prioritise, structure and organise work in order to make the most efficient use of time available
- Ability to act on own initiative and take responsibility for a high quality experience in a complex and changing multi-dimensional environment with multiple stakeholders
- Service minder, problem solver and flexible
- Strong communicator and team player with capacity express ideas and opinions effective
- Ability to work with high pressure and translating challenges into actions
- Ability to have courage and to make a clear standpoint and take action
- Ability to perform and deliver with speed and simplicity always keeping our culture and values at heart
- Proven training or experience in the field management in fields such as of Facility, Service, Meeting or equivalent
- Minimum 1 year of facility or workplace operations experience and minimum of 2 years of work experience in a multicultural environment
- Good communication skills, both in English and Dutch

WHAT YOU'LL BE DOING DAY TO DAY
- Secure high-quality standards and excellence in operations for maintenance of the physical work environment and technical equipment, availability of office supplies and up-to-date and high-quality information and communication.
- Execute or initiate any actions needed to keep all indoor and outdoor facilities, services and technical equipment as in a shape as new.
- Execute physical changes and replacement of any physical solution, both short-term and long-term.
- Plan and coordinate trainings for evacuation, first aid and rescue team, follow up on results and initiate actions to secure compliance.
- Administrate the software solutions providing service to our co-workers and make sure that all inputs and malfunctions are taken care of.
- Be a speaking partner in daily operations for our external partners supporting us and follow up on their delivery.
- Contribute to continuous improvement by following up on the usage of the different work and service areas and actively seeking for and acting upon any feedback or needs addressed by our co-workers or visitors.
- Anticipate change and adapt daily processes in a constantly evolving environment (everyone).
- Monitor, order, purchase and stock of necessary office supplies, and place orders accordingly
- Make sure that office equipment is timely serviced and operational. -Develop operational working routines and ensure that the operational office support activities meet organizational requirements.
