**A.SPIRE** is a European Association that represents ten European industrial sectors (cement, ceramics, chemicals, engineering, minerals and ores, non-ferrous metals, steel, water, refining and pulp&paper) and the research & innovation interests of more than 180 members (companies, research & technology organisations et al.). A.SPIRE is a private partner implementing the Processes4Planet Co-programmed Partnership launched as part of the Horizon Europe framework programme.
**JOB DESCRIPTION**
As Administrative and Communications Assistant, you will be in charge of administration, logistics and financial issues related to the activities of the Association, management of A.SPIRE membership processes and support to communication activities and events.
**YOUR ROLE**
ADMINISTRATION AND MEMBERSHIP MANAGEMENT:
- Maintain relations with suppliers by setting-up contracts, follow-up of activities and taking care of administrative and financial arrangements.
- Coordinate with providers of accounting and HR services.
- Organise and maintain internal databases (CRM) and centralized filing systems.
- Prepare outgoing membership invoices and keep a record of membership fees.
- Prepare membership related documents, welcome and onboard new members.
- Elaborate statistics and reports on membership.
- Support the team in other ad-hoc assignments related to the day-to-day activities of the association.
COMMUNICATIONS AND EVENTS:
- Operate A.SPIRE’s internal collaboration tools.
- Manage and enhance the internal communication with A.SPIRE members.
- Manage Association’s external communication channels (website, social media, newsletters, etc.)
- Generate content for social media, news releases, newsletters, etc.
- Prepare presentations and small publications, manage relations with providers.
- Coordinate the logistics and organisation of internal events and workshops.
- Manage the team calendar for events and meetings.
**QUALIFICATIONS AND EXPERIENCE**
- Degree in communications, public relations, business administration or related studies.
- 2-3 years experience in a similar position is a good advantage.
**SKILLS AND REQUIREMENTS**
- Should be able to work autonomously with little supervision.
- Should be well organised, flexible and open-minded.
- Should have outstanding attention to detail.
- Should be able to set priorities, follow strict deadlines, be proactive.
- Should have good IT skills (Outlook, Office 365) and communication tools knowledge & understanding.
- Knowledge and experience within the European context in Brussels would be highly considered.
- Very good writing and communication skills and a sense of diplomacy.
- Excellent spoken and written English and French.
- Travelling availability when key events or meetings require (under favourable sanitary conditions, this could be two or three times a year).
