**How you will contribute**
You will:
- Provide administrative support executing activities and build an effective relationships with those you support
- Perform duties as needed related to budget, expenses and purchasing processes
- Manage archiving and filing in line with statutory requirements and company policy
- Complete and update reports and maintain systems and data
- Undertake additional projects and tasks as requested
- Coordinate all logistics for travel, events, meetings, training, etc. where required

**What you need to know about this position**:
- **Act as a point of contact for customers regarding administrative and organizational matters, in order to provide a continuous service to customers.
Related Activities:
- Handling various telephone questions from customers
- Refer to Key Account Manager or customer Team Leader. where necessary
- Act as a backup to other customers in the absence of the other customer team coordinator
- Act as an internal contact person for problems related to logistics, finance, if KAM is not available
- Coordinating logístical and administrative matters concerning promotional campaigns
Related Activities:
- Ensure the follow-up of documentation, samples, technical sheets, etc.
- Confirming promotional campaigns at customers, providing customers with various overviews in line with customer expectations regarding process, timings etc for promotions. Pro-activity is very important here.
- Possible communication with the field for information for promotions, follow-up results etc
- Timely filling in the pit (internal system for promos) with all correct info
- Checking, processing and administration of various budget related documents and information flows
Related Activities:
- Checking the Trade Incentive budget by creating a budget file (based on annual contract + promo plan) + updating it in case of changes
- In the event of budget overrun, notify the KAM in good time
- Checking and processing invoices
- Contacting customers to correct incorrect invoices and statements
- Creating a file for the credit notes for the customers for the deferred discounts, keeping this information on a monthly, quarterly and annual basis -> communication with finance so that the credit notes can be prepared and sent to customers in a timely manner
- Carrying out various support activities
Related Activities:
- Performing ad hoc analyzes at the request of KAM; e.g. Volume reporting
- Organizing customer fairs and providing practical support during the fairs
- Purchase and reception of sales support bonuses and other materials through EBP
- Organizing trips, meetings, seminars and the like
Participate in (implementation) projects related to administrative and information systems (variant).
Related Activities:
- Testing new systems before commissioning by the department
- Occasional trainer for the department
- First contact person for an explanation of how the software works
- Act as a Key User for, for example, proposed changes to systems
