Role Purpose
The Assistant Facilities Manager will oversee the day to day FM activity at our client’s dedicated sites nationwide and support the Account in ensuring JLL IFM contract delivery is achieved across the national remit. The Assistant Facilities Manager is responsible for assisting in all aspects of client and tenant satisfaction, contact delivery, management of all hard and soft services, and financial management.

Promoting high level of satisfaction among client users by promptly responding to their service requirements.
Accountable for the CAFM helpdesk system ensuring that SLAs are met and trend reporting on key areas.
Ensures compliance with JLL and client best practice, policies and procedures including statutory compliance, Quality and EHS compliance.
Management of projects and moves and changes either directly or via the Project Manager.
Develops a close working relationship with Client Key Stakeholders, Landlord, Managing Agents, and all the FM vendors to ensure that they fully understand the Client and JLL culture and become partners in delivering a high-quality service.
Management of third party vendors ensuring that all contractual obligations are met.
Has ability to address minor technical repairs and is first point of contact relating to all building issues including out of hours escalations.
Management of the JLL BCP ensuring that it is aligned with the clients.
Management of site scopes, making adaptations where required.
Monitor PPM schedules.
Responsible for Health & Safety, including contractor supervision, reviewing of H&S documentation and working closely with the JLL Health & Safety Manager.
Monitors and ensures office housekeeping and cleanliness is delivered to highest standards.
Proactively manages spend and budget locally in line with JLL and client policies and procedures such as obtaining approval for all client spend and including the processing of PO’s in a timely manner, invoices, budgets, service charges, updating the finance tracker, rates, rent, insurance and local taxes etc. as applicable.
Ensuring all JLL monthly contractual obligations are met without going overdue. including (but not limited to) financial GRs, PO processing, processing the finance tracker, site inspections, SAVE returns, ATWs, RAMS, Supplier/Staff onboarding, My Development training both individual and team, CAFM ticket management and stakeholder communications.
Complete mandatory JLL training within the given deadlines.
Produce management reports as required.
Helping to promote sustainability.
To liaise with local authorities as appropriate.
Assist with reception coverage.
Promote JLL and client core values.
**Skills & Experience**:
Experienced in the management of total FM services.
Able to demonstrate a proven track record of managing office cleaning.
Able to build and maintain strong client and JLL relationships.
Experienced in financial management and budgeting while identifying cost
