**About the GIZ Representation**
The mission of the GIZ Representation in Brussels is to position the enterprise in the EU context and to ensure the coherence of its actions and visibility in Brussels. To fulfil this, our activities range from interest representation vis-à-vis the EU institutions and other partners, to radar function and observation of the EU policy framework, as well as entry point for all main contacts of the organisation with EU institutions. They further include advisory services to our Management Board and other GIZ organisational units, the organisation of workshops and events with Brussels based stakeholders, as well as hosting events of Brussels based GIZ projects and administrative services for those teams.
**Role purpose**
**Main responsibilities**
Support in time and task management:
- Day-to-day management of the Director’s calendar
- Entry point for all (internal and external) meeting requests to the Director
- Scheduling and rescheduling internal and external meetings in accordance to priorities,
- Prioritizing and scheduling to do’s in cooperation with the Director
- overseeing and prioritizing the Director’s mail Inbox
Organization:
- Arrangement and design of internal meetings through MS Outlook and Teams (potentially also moderating, documenting and ensuring adequate dissemination of meeting documents)
- Organization and preparation of business trips and business expense reports for the director.
- if needed: organizing the preparation of internal and external meetings in cooperation with other team members (gathering agenda, speaking points)
- back-up of the Office Manager during sick absences and/or holidays
Further tasks:
- communicating with internal and external partners
- support in filing of relevant and confidential documents
- General ad-hoc assistance in managing the unforeseen
**Person specification**
**Requirements**:
- Relevant management assistance training and preferably prior experience in management assistance for high-level executives;
- Ability to set priorities and a talent and passion for organisation;
- Excellent IT skills (MS 365: Outlook, Word, Excel, PowerPoint, as well as Teams);
- Good skills in oral and written expression, ability to synthesise information in German and English;
- Professional discretion and an absolute respect for confidentiality;
- German and English, both fluent (in writing, reading and speaking).
- Available work allowance for Belgium
Additional qualifications
- Professional experience in the Brussels environment will be considered as an asset;
- A good professional level of French will be considered an asset.
**Required Skills**:
- Excellent organizational skills;
- Adaptability and flexibility with a service orientation to provide support, both internally and externally;
- Very strong communication skills, both orally and in written, and both online and in-presence;
- A good sense of humour;
- Team player by conviction and enthusiasm.
**What we offer**
