General information Your position As a PMO Support Officer, you will join our busy PMO, supporting project resourcing, finance, risk and governance within the PMO. You will work in close collaboration with all Project Managers, supporting their administrative, scheduling and financial needs for their projects.Support tasks fall into three domains: resource management, cost management, and communication and reporting.Your responsibilities include:GeneralYou will coordinate the projects’ time writing, monthly reporting and invoicing and manage the overall project management tool (Planview).You will provide support to the entire project team at meetings, which could include scheduling meetings, taking minutes, recording actions and performing follow-up.You will support internal and external audits if required.You will assist Project Managers in the projects’ start-up, reporting and closure phases.You will be the go-to person for Project Managers when they have questions, need help or work to be completed.You will initiate the improvement of PMO support processes to align with other stakeholders and better performance of the PMO support.You will implement the process improvement action plan.Resource managementYou will provide necessary access to the on & offboarded colleagues, mainly externals.You will monitor and follow up resource availability in vacancies.Cost managementYou will provide regular reports to the Finance department and track project-level financials.You will oversee all purchase orders and invoices’ tracking, reviewing and creation.You will provide support to the PMO management in the budget preparation. Communication and reportingYou will preparing the reporting of the Project Portfolio Board meetings by building the required dashboards analysing figures related to the project portfolio.You will prepare and coordinate portfolio-level communications and liaise with internal stakeholders and providers.You will assist the PMO Manager in defining, overseeing and communicating project management processes, standards and governance.You will ensure the projects’ commitment to portfolio-level governance processes and reviews.
