Job title: Office Manager

Reporting: To company Director

Location: Work from Home/Brussels

**Role and responsibilities**:
Administration and finance
- Manage and maintain office calendar
- Schedule and manage the daily arrangements, preparing meeting materials when required, assist in the organising and co-ordinating of meetings and events
- Assist in the response to specific pieces of correspondence
- Organise training, travel and hotel bookings, business lunch/dinners, events
- Manage all incoming and outgoing invoices, payments and expenses, update invoice and expenses database, execute payments

Information and Document Management
- Manage correspondence and information flows for the office; requests for information from within the office and externally, and provide answers to routine enquiries
- Maintain and update records, documents, inventories and databases, monitoring, tracking, co-ordinating, combining and analysing data where required
- Ongoing updating, drafting and maintaining of various contact lists
- Create and maintain storage and retrieval filing and archive systems (both online and offline)

HR management
- Managing IT requests (opening user account, opening mail account, etc.), filling in paperwork for HR platform, ordering equipment, business cards, assistance in acquiring EP accreditation
- Filling in evidence of presence at work - administrating in HR online platform
- Communicating with social secretariat and handling all related administrative work

Office Management
- Coordinate, order and distribute office supplies and equipment
- Manage the office administrative processes
- Coordinate visual assets printing; copying, mailing (post office)
- Plan ahead, coordinate and manage the office administrative systems, processes, activities and materials

Skills and experience

1. Administrative qualifications and experience: minimum of 1 year

2. Ability to communicate in at least one European Union languages in addition to English

3. Flexible and adaptable to multi-cultural environments

4. Ability to prioritise, ability to work independently, outgoing and not afraid to ask questions, results-driven, business awareness, honesty and transparency

5. Required: MS Office, Adobe
