YOUR MISSION
The Office Assistant belongs to the HR & Facility Department. He/she provides high-level administrative support to his/her team, enhance the organizational efficiency, and contribute to a smooth workflow within an office environment. The Office Assistant reports to the HR Manager.
YOUR IMPACT : ROLE AND RESPONSABILITIES
- First impression management
You create a positive and welcoming atmosphere for visitors and clients, managing front desk operations, handling inquiries and directing them to the appropriate people, and ensuring the overall smooth functioning of the reception area.
- Facility management (building maintenance & improvements)
You support the facility coordinator with managing and maintaining the physical infrastructure of the building, overseeing repairs and maintenance, coordinating with vendors and contractors, ensuring compliance with safety regulations, managing facility budgets, and providing support for various facility-related needs.
- Office & management assistant
You actively support your department (HR & Facility) and the board members by performing any kinds of high-level administrative and operational tasks (recurring and on demand) and ensure a smooth and efficiently functioning within the HR & Facility department. Your responsible to manage the training platform and all training related administration.
You manage the stock of office supplies, foodstuffs, materials related to facility or a good employee experience.
- Events, meetings & catering
You (co-)organize events, like for ex the annual kick-off for our Business unit, the summercamp, the Christmas party,... You take care of the planning, coordinate logistics, arrange transportation and accommodation,... You manage the predefined budget and collaborate with suppliers and stakeholders. You ensure a seamless and successful event experience for employees.
You take care of organisation of some bigger or international meetings and are responsible for catering.
- Travel platform
You manage and update our travel platform, including travel listings, coordinating with travel partners, ensuring accurate, up-to-date information and reports generation for sustainable aspects, providing employees support, facilitating bookings and reservations, and continuously improving the user experience of the platform. You are also the single point of contact for all kinds of transportation bookings (taxi, hotels,).
YOUR QUALIFICATIONS AND EDUCATION REQUIREMENTS
- Bachelor’s degree (Executive Secretary, or equal through experience).
- Professional experience of at least 5 years in an administration department (Facility, HR,)
- Fluency in French and English, Dutch is a plus.
- Excellent written and spoken communication.
- High-level expertise in windows Office suite and Microsoft 365 (Teams, Share Point).
- Great ease in the layout of various documents (Word, Power Point) and knowledge of various tools of communication (Forms for surveys, MailChimp ).
- High empathy, energy & good organisational skills are a must for this position.
