ADMINISTRATIVE AND OPERATIONS MANAGER (M/F/X) ARCHITECTURAL OFFICE
XDGA is an internationally active architectural firm with 60 collaborators based in Brussels and Paris. For its Brussels office, XDGA is looking for an administrative and operational manager with a solid foundation to strengthen its team.

Reports to: General Management
Job description: The Administrative and Operations Manager is responsible for the administrative supervision of architectural projects within the office. He/she is responsible for the overall management and execution of administrative tasks of architecture assignments and supports the teams for the smooth execution of ongoing projects. The Administrative and Operations Manager is responsible for correct budget monitoring, management of business documents and supports the teams in all business aspects.
The Administrative and Operations Manager works closely with the project managers and general management.
Main tasks:
- Be involved in drafting and negotiation of contracts between the office and the client (together with the management and possibly in collaboration with an external legal advisor).
- Managing insurance contracts for various architectural projects (in cooperation with the insurance broker).
- Processing the invoicing related to the projects (both clients and partners and subcontractors).
- Assisting with budget monitoring of the various projects.
- Support with the administrative part of applications.
- Take part in the daily organisation of the office.
Skills and desired profile:
- Strong general administrative profile (contracts, budgets, business contacts).
- Willing to acquire new knowledge and learn new skills.
- Independent and autonomous.
- Strong organisational skills.
- Familiar with current office software (Word, Excel, PowerPoint, project management software).
- Required experience in a similar position (min. 3 years).
- Required Language skills: NL/FR/ENG
Competences:
- Accurate and attention to detail.
- Able to work autonomously.
- Able to prioritise and manage multiple projects simultaneously.
- Enjoys working in a team and easily establishes contacts at different levels (internally, customers, suppliers).
- Able to be flexible and meet deadlines.
Remuneration: According to profile and experience.
Our offer:
