Operational Project Assistant We ARE Renewables is looking for an Operational Project Assistant for a client in the energy industry. Responsibilities: Coordination and follow-up throughout the entire lifecycle of an infrastructure project Project follow-up in terms of budget, finance, and accounting (including management of contractual documents). Monitoring of major project milestones in SAP so that PLs can organize and execute their projects as efficiently as possible. Based on PL instructions, you enter the various project milestones into the tool (SAP PS) throughout the project lifecycle and perform, via SAP PS or Excel Babe, the related checks and follow-ups to ensure proper project execution across the different tools. Coordinate the entry, updating, and/or control of project budgets in the tools (SAP PS, Excel Babe) to ensure the business can track the financial progress of its projects. Provide proactive support to PLs and PMs so they can more effectively manage the budgetary, financial, and administrative aspects of projects, as well as project planning. Initiate the creation of project files in line with PL/PM instructions and coordinate their completion and validation with PL/PM and the IPC secretariat to ensure submission to decision-making bodies. Ensure the creation and administrative follow-up of purchase requests (PR), shopping carts, warehouse reservations, orders, and deliveries related to orders, in order to initiate the purchasing process and ensure suppliers execute orders correctly and within agreed deadlines. Draft the "transfer of ownership" when the delivery deadline requested is exceeded. At the request of PLs, coordinate the follow-up of accounts, work orders (WO), or order supplements and translate them into PRs to create order amendments or framework contract call-offs. Ensure that administrative documents are available (minutes of provisional, industrial, or final acceptance, safety clauses, and certificates) to close the file and release bank guarantees or retained payments. Be responsible for the creation and/or updating of work procedures related to project follow-up used by OPAs, thereby ensuring transparency in these processes and guaranteeing detailed and consistent file management by OPAs.
