As a Travel & Registration Assistant within the DiscoverEU team, you will support the delivery of smooth travel coordination and high-quality participant assistance. You will work closely with the DiscoverEU team and report directly to the DiscoverEU Team Leader. This is a hands-on position, well suited to a student with strong communication skills, a customer-oriented mindset, and excellent attention to detail. Key Responsibilities (non-exhaustive) Travel & Customer Care – DiscoverEU Respond promptly to participant enquiries via email and chat, in line with internal Service Level Agreements (SLAs). Support travel coordination, including booking assistance, document verification, and the processing and tracking of participant expenses and supplier invoices. Identify, allocate, and escalate complex cases to the appropriate team members to ensure timely and effective resolution. Handle special travel cases (e.g. accessibility requirements, lost tickets, rebookings) and maintain accurate and up-to-date records. Ensure full compliance with internal Standard Operating Procedures (SOPs), data protection regulations, and financial control guidelines. Provide administrative support to the team and assist with operational coordination as needed. Troubleshoot participant ID and documentation verification issues, following established escalation procedures. Administration, IT & Tools Confidently use internal web applications and the helpdesk platform to support participants efficiently. Demonstrate proficiency in job-related tools, including IT systems, databases, and standard office software. Ensure all data processing complies with GDPR requirements; support the setup of Data Protection Agreements and adhere to IT security protocols. Understand and actively promote the principles of EMAS (Eco-Management and Audit Scheme), acting as an EMAS Ambassador and supporting sustainability initiatives. What We Expect From You Legal eligibility to work full-time (40 hours per week) within the European Union. Excellent written and spoken English, along with fluency in German. A strong service-oriented mindset and a high level of professionalism in all interactions. The ability to manage time effectively, prioritise tasks, and meet deadlines and key milestones. A strong commitment to delivering high-quality work that reflects the values and expectations of both the project and the client, with a focus on accuracy, consistency, and care.
