ABOUT MS AISE

MS AISE is a long standing local specialty insurer. Our strategy is 'to provide efficient knowledge-based service propositions to our commercial clients based on a dual distribution model (Bespoke and Streamlined business). Our corporate (international) approach and an efficient proposition for the SME clients (supported by digitalisation initiatives) will be key to reach our final goal.

ABOUT THE JOB

The receptionist is part of MS AISE: MS Amlin Insurance SE. You will be part of the Netherlands, Belgium and France team, reporting into the Head of Operations & Outsourcing (HOO) based in Amstelveen. Your specific focus will be on the Brussels office, located in the Zenith building (within walking distance of the Brussels Noord train station). With a total of around 2400 square meters, the office is home to around 140 colleagues (on average, colleagues work 2-3 days per week at the office).

As the receptionist, you will be part of a team of 2. The office management team has the full responsibility for all reception related tasks. A more detailed description of your responsibilities is provided below.

Reception

  1. Ensure the reception operates in an efficient and professional manner with customer focus at all times;
  2. Answer and transfer calls efficiently and quickly;
  3. Assist (internal/external) clients/visitors in a consistent manner;
  4. Maintain a friendly and polite attitude;
  5. Keep the reception area clean and tidy and secure all paperwork;
  6. Ensure the reception is fully available during core opening hours and open/close the office on time;
  7. Support the European Facility Manager in any required activities linked to either the Brussels office or the overarching Facility Services strategy;
  8. Monitor all local site controls and processes and raise any risk-related or H&S issues.

Role Requirements

  1. You have at least 8 years of experience in the reception services industry.
  2. You have a strong service and delivery mindset, ensuring the job gets done.
  3. Strong collaboration and communication skills are required to oversee various activities and ensure all services are carried out against the agreed service specifications.
  4. You take full ownership of the Brussels office, being responsible for all office-related matters.
  5. A proactive attitude to work – you prevent major issues by staying on top of the services provided to our staff and continuously seek improvements to reception and facility services.
  6. You're a team player who knows when and what to align with key stakeholders.
