For one of our clients, an international organisation based in Brussels, we are currently looking for a Business Planning Coordinator (Interim) to replace a departing team member. The role will be offered as an interim contract running until 31 December 2026. The team is seeking a professional who can ensure continuity and high-quality support within the Business Planning function. Purpose of the Role The Business Planning Coordinator will support the Head of Section and two Managers by providing comprehensive administrative, organisational and coordination support.

The role is key to ensuring the smooth functioning of the department, which supports senior governance bodies across a wide range of activities. The position requires someone comfortable working in an executive-level environment, able to handle incoming requests with discretion, diplomacy and professionalism, and to communicate effectively with internal and external stakeholders.

Key Responsibilities

Executive & Administrative Support Provide day-to-day administrative support to the Head of Section and two Managers Manage incoming requests, priorities and follow-up actions with discretion and efficiency Meeting & Event Coordination Organise and support meetings, events and webinars Coordinate logistics, agendas, participants and documentation Ensure timely follow-up and clear communication Administrative & Financial Coordination Support procurement and financial processes, including contracts, invoices and approvals Coordinate with external suppliers and internal support services Documentation Management Maintain, update and structure departmental documentation on SharePoint Ensure information is accurate, accessible and up to date Internal Collaboration Build strong working relationships with internal teams and stakeholders Contribute to smooth coordination across departments Profile & Requirements Education & Experience Bachelor's degree or equivalent through relevant experience Initial experience in an administrative, coordination or executive support role Technical Skills Strong proficiency in Microsoft Office (Word, Excel, PowerPoint) Excellent working knowledge of Outlook, Teams and SharePoint Languages Excellent written and spoken English Competencies Strong organisational and prioritisation skills Professional communication and stakeholder management High level of discretion and confidentiality Diplomatic, service-oriented and reliable Comfortable working in an executive and governance-driven environment Ability to manage multiple requests and deadlines Contract Details Contract type: Interim Duration: Until 31 December 2026 Location: Brussels
