About the job
As Management Assistant to the VP Plant-Based Europe, you will work closely with our Plant-Based Acceleration Unit and with senior team leaders to wide range of administrative, organizational & project driven support including:
- **Organization of internal/external meetings and travel**: You manage detailed travel schedules and you take care of the practicalities of internal/external meetings (location, hotels, lunch/dinner, attendees, transportation, etc.).
- **Act as gateway and gatekeeper**: As an executive assistant, you will often act as the first point of contact with people from both inside and outside the organization. In a smooth and discrete way, you build relationships with several stakeholders in the organization. As such, you carry out the role of ‘gatekeeper’, as well as the role of ‘gateway’. You inform, filter information (calls, mails, etc.) & prioritize, and sustain constructive relations with internal and external stakeholders.
- **Administration**: You collect and follow-up on documents (preparation, signing, registration, archiving, etc.) and systems (PO's, expenses, etc.).
- **Ad-hoc requests**: You will collect and support on ad-hoc requests based on needs (for example, company overall agenda, order flower/presents when appropriate, organization charts update, etc.).
About you
To be able to achieve the above and be successful in this role, you need to have:
- Experience in a similar function
- You enjoy working in international environments, in a diverse team
- You have good analytical and organizational skills to judge all kinds of situations thus ensuring that things run smoothly and efficiently. Where and when needed, you are looking for efficiency, you set up priorities and take care of a proper follow-up.
- You feel at ease with performing several tasks in parallel, always with a hands-on attitude, enjoying finding solutions and are not afraid to handle difficult situations. You are autonomous and can manage many stakeholders at the same time, on top management level
- You have an excellent knowledge of MS-Office (Word, PowerPoint and Excel) and MS Outlook.
- You are proficient in both oral and written communication in English, Dutch and/or French is a plus
