Polestar is expanding rapidly in Belgium, and we now have an exciting opportunity for a new position as Fleet Sales Order Specialist to complete our Operations & Business Development team. Your key responsibility will be to process incoming orders from new and existing fleet or B2B customers. You will be in close contact internally with your counterparts located in our Headquarter in Sweden, as well as with the Belgian and Luxembourg Sales Team in order to ensure orders are processed efficiently and effectively. You will also be in close contact with the leasing companies and our externally located order processing team in the UK to ensure timely and correct order processing.
This is an opportunity to be part of the exciting Polestar journey and be able to form and shape our business success whilst transforming the whole industry. The position will be based in Brussels in our new offices in Gare Maritime and reports to the Head of Operations & Business Development of Polestar in Belgium & Luxembourg.
**What you´ll do**
In this role, you will lead the daily processing (i.e., review, validation and approval) of new incoming fleet orders as well as coordinate follow-up of orders with the leasing companies, B2B customers and order processing team. You will establish and analyse internal reports as well as organizing internal coordination and alignment meetings. By working closely with Polestar Belgium, Luxembourg & HQ colleagues, and departments you will ensure Fleet & Business requirements are considered in system and process improvement planning.
Additionally, you will:
- Assess and improve ordering processes for fleet and business orders in coordination with the Fleet Team located in Sweden
- Onboarding and continuous training of leasing companies
- Be the point of contact for Leasing Companies and Polestar Handover Centres for enquiries regarding the status of orders
- Work closely with the Planning, Ordering and Delivery Specialist and ensure continuous support of the sales team in terms of order processing

As a person, you have an analytical and goal-oriented mindset, and outstanding communication skills to motivate, educate and guide all parties (internal and external) through the order processing flow. You are also a flexible and agile individual who thrives working in fast-paced and dynamic environment with a can-do attitude. You are very sociable and solution oriented, who thrives on clear communication and motivating external parties to achieve the win-win. You have the ambition to take the job to a higher level, improving the processes and decreasing the manual workload. Last but not least, you have passion for people.
To be successful in this role, we expect following elements:
- A university degree in for example Business Administration, or equivalent through experience
- Experience in automotive business and fleet management is a plus
- Excellent level of spoken and written Dutch and/or French and a professional level of spoken and written English
- Strong knowledge of MS Excel & PowerPoint
