GL events Live EU is the Brussels-based operational branch of GL events Live, dedicated to the
European institutions and international organisations. The branch is fully integrated in GL events, the world leader group in event services with more than 5,000 events produced every year on five continents and over 40 venues managed around the world.
Combining the strengths of a strategic and operational event communications consulting agency and an event services provider, the Live division offers all expertise required to design, produce and stage your face-to-face, hybrid or digital events successfully.
We are now looking to reinforce our team with a project/event coordinator based in Brussels (first 6 months under a paid professional internship status - "Convention d’immersion professionnelle”).
If you are passionate about event organisation, willing to learn, creative, dynamic, ready to work in an integrated team and to dive into event organisation for EU institutions, this position is for you.
**Responsibilities**:
- Planning of preparation tasks and logístical services for events
- Logistical services for event projects from A to Z
- Daily contact with clients (mainly within the EU Institutions and other international institutions)
- Registration services and knowledge/management of online registration tools and platforms
- Management of travel and accommodation services
- Event management and delivery of services during physical events
- Support in the quality assurance of all services (including kick-offs, briefings )
- Coordination with service providers and suppliers
- Budget monitoring of the events
- Preparation of the conference material (badges, folders,)
- Day-to-day supervision of project tasks
- Sustainable, innovative and inclusive event services
- Project management of project with event management components
- Reporting
**Requirements**:
- A very good command of English and French is requested as all the tasks and internal meetings will be held in both languages.
- Excellent organisational and planning skills
- Negotiation, moderation and communication skills
- Basic knowledge of online conferencing and engagement tools and platforms
- Very well organised, curious, proactive and good at prioritising and handling challenging deadlines.
- Attention to detail and quality of services.
- Oral and written communication skills.
- Teamwork spirit.
- A good and proven command of Microsoft Office Word, Excel, PowerPoint, Outlook, Teams, etc. is also necessary.
Desirable:
- A first experience in event and project management is a plus.
- Other European languages than English and French are a plus.
- Knowledge of the International political landscape as well as the protocol is an asset.
- Knowledge in web design (HTML, WordPress) is a plus.

Qualifications:
- Diploma or certificate in event management and/or university degree in a field such as communications, International Relations, Economics or another relevant field.
**Job Types**: Full-time, Fixed term contract, Internship
Contract length: 6 months
