Looking for an opportunity as office manager in an international environment?
**Beschrijving**
One of our international clients, is currently looking for an Office Manager.
Your principal responsibilities will include:
- Administrative support to General Secretary and other staff members
- Liaise with the office landlord, suppliers and contractors
- Provide IT support (with external IT partner)
- Organise events, i.e. the practicalities (hotel, venue, catering,)
Your responsibilities in details:
Suppliers
- Organizing, ordering & reception of all office supplies, drinks, etc
- Filing of contracts
- Ordering & follow-up of maintenance/repair of material, machines
- In contact with the cleaning service and plants’ service
Building
- Access badges
Contact with representative of the building workers for the organization and timing of works
- Responsible for evacuating staff & visitors in every case of alarm and during building escape exercises. Sending report to the building representative afterwards.
- Organize maintenance of kitchen machines
Mail
- Opening, distribution, distribution for approval of the invoices + scanning for the accountancy and sending post out (post office)
- E-Mailing of Newsletters, agendas, invitations
- Checking incoming mail, answering, forwarding
- Handling of special warning messages from the IT softwares (updates, renewals, problems) and immediate contact with IT-support if needed
- Clearing inbox of all possible junk, clear spam box
Working Groups
- During meetings at the offices, circulate a report from the database and have details checked by the members of the groups. Update the database and lists.
- Daily checking of the meeting rooms (cleanliness, drink supplies, mugs etc)
- Ordering the lunches for the meetings
- Booking restaurants + choosing menus (keep track of the number of attendees)
IT
- Regular contacts with IT supplier in case of questions and problem solving via phone or online by IT support
Travel bookings for all
- Ordering of tickets
- Liaison with external accountants
**Profile**
- You are fluent in English (written and oral) and French (Dutch or other languages are appreciated)
- You have experience in a similar position
- You have good knowledge of IT tools (Microsoft Word, Excel, Access, PowerPoint)
