Function

As Portfolio Management Officer you are in charge of:

 

Standardization of the Project Management Process

 

  • Set up, implement and follow up templates for project proposals, status reports, changes requests and closure reports.
  • Optimize existing, set up new, implement and follow up processes (budget process, effort reporting, PO process, monthly budget performance reporting, cost center reporting, demand process.
  • Monitor the goal orientation of ongoing processes and ensure policy compliance.

 

Support Project Implementation

 

  • Assist with Project organization and shaping (Purchasing process, link to strategy …).
  • Being project anchor point by notably facilitating communication with / providing information to stakeholders (e.g. milestones or other…) and creating a bridge between various departments when needed (e.g. budget communication, resource management…).
  • Proactively propose and initiate resource and budget optimization, notably through subsidies or other extra funding opportunities.

 

Provide a Consolidated View of All Projects

 

  • Design the KPI’s and track the OKR’s related to it.
  • Communicate clear budget, forecast,… and require action from project team when needed.
  • Create meaningful portfolio management and project dashboard (e.g. in Sciforma or PowerBI).
  • Provide real-time data about project status when required (e.g. for a board, for a director meeting or a regulatory question).
  • Coordination and follow-up of daily operations, meetings and project progress reports to make sure that all deadlines are fulfilled (e.g. incentive reporting…).

 

Optimize resource management

 

  • Allocate flexible resources based on priority and project needs (e.g. flex pool of innovation), notably manage student and internship opportunities to maximize their impact.
  • Anticipate the needs and proactively take action (as external support for the launch of new recruitment …).
  • Define and organize participation to all relevant ceremonies.
  • Score projects and monitor the risks in order to take decision.

 

Strategic Portfolio management

 

  • Daily co-ordination (team meeting, portfolio review…) with geographically distributed teams.
  • Support selection of best initiative based on input from KPI’s and portfolio dashboard.
  • Provide guidance and best practices to evolve project management in the team.
  • Prepare portfolio review and provide insights to support arbitrage.
Your Profile

 

  • Master’s degree or equivalent through experience.
  • You are very proficient in both spoken and written English and you have a good knowledge of Dutch and French. You can easily tailor your message to your target audience.
  • You are highly organized, with a talent for effective planning to meet deadlines and go beyond the ambition of the project proposal.
  • You have a strong focus on details and affinity for numbers.
  • You are proactive, eager to learn and work independently.
  • You can make an important contribution to simplifying and optimizing processes based on analyses, both advisory and executive, in order to stimulate continuous improvement.
  • You are a problem solver and like to jump in where necessary.
  • Team spirit combined with a capacity to work autonomously in an international environment (willing to spend a few days per month abroad to work out projects in collaboration with international partners and companies of the Group)
  • IT skills (SAP, Microsoft Office and ideally Sciforma)
