We want you to be a part of our team, from Brussels, as a Bid Manager-EU Institutions (100% remote position).

WHAT WILL YOU DO IN YOUR DAY-TO-DAY?

  1. Administrative support for daily tasks in the Bidding Department.
  2. Oversee the full tendering process for EU-funded projects and public procurement bids, ensuring compliance with all requirements.
  3. Analyze Invitation to Bid (ITB) documents to ensure strict adherence to client specifications and procurement regulations.
  4. Prepare Bid Plan and review administrative documentation, verifying the completeness and adequacy of technical submissions.
  5. Manage client communications, addressing queries and obtaining clarifications throughout the proposal preparation and submission phases.
  6. Coordinate with internal teams and external partners to collect necessary documentation while ensuring compliance with EU procurement rules.
  7. Develop, review, and submit competitive proposals within strict deadlines.
  8. Identify, track, and analyze new tender opportunities published on TED and other procurement platforms, and prepare summary of potential bids for evaluation.
  9. Maintain detailed records of tender submissions, awarded contracts, and project status updates.
  10. Collect, classify, and maintain administrative documents related to bids, ensuring accuracy and accessibility.
  11. Monitor and track the expiration of legal and administrative certifications, coordinating timely renewals or updates.
  12. Complete and organize all required administrative forms in accordance with bid requirements.
  13. Verify that all submitted documents comply with the formal specifications outlined in tender guidelines.
  14. Coordinating with legal and finance department for the signatures of the administrative documents
  15. Ensure all documentation is ready and submitted within the bid deadlines, including uploading files to electronic bidding platforms.
  16. Stay updated on EU procurement regulations and best practices to enhance bid success rates.

Required Experience:

  1. Conducted extensive global tender research using platforms such as eTenders, GlobalTenders, the EU Funding & Tenders Portal, and TED Europa to identify business opportunities across Europe.
  2. Proficient in reviewing and editing contract references and CVs as per tender requirements.
  3. Strong understanding of key concepts and terminology related to Framework Contracts (FWC) and tendering procedures.
  4. Knowledgeable about the procurement process, including eligibility criteria, evaluation methodologies, contractual obligations, and compliance requirements.
  5. Knowledge of legal and administrative certifications required in tenders.
  6. Experienced in analyzing tender documents, preparing bid responses, and ensuring compliance with framework agreement terms and conditions.
  7. Well-versed in the legal and financial aspects of public and private sector procurement, applying best practices to enhance bid success in competitive tendering environments.
  8. Skilled in registering on tender submission portals and managing online bid submissions effectively.
