Description
  • You oversee the daily operations of the office, managing incoming mail and phone calls efficiently.
  • You act as the main point of contact with the global IT service provider to guarantee seamless access to all necessary hardware and software resources.
  • You handle the procurement and maintenance of office supplies and equipment while adhering to the established budget.
  • You ensure that meeting rooms are well-maintained, prepared, and available for use at all times.
  • You collaborate with local suppliers and contractors as required to support office functions.
  • You warmly welcome clients and visitors, assisting with transportation arrangements and their specific needs.
  • You implement and uphold global organizational procedures to maintain uniformity and effectiveness within the office.
  • You strive to maintain a safe, secure, and efficiently operating work environment.
  • You manage subscriptions and renewals for office services and supplies.
  • You assist with the onboarding and offboarding processes for employees, including the preparation of necessary equipment and orientation sessions.
  • You help monitor employee records, tracking aspects such as leave, benefits, and training schedules.
  • You schedule and coordinate team meetings, ensuring that agendas are prepared ahead of time for effective discussions.
  • You organize special staff events, like training sessions and team-building activities, to foster collaboration and development.
  • You manage the renewal process for eligible staff holding European Parliament badges.
  • You arrange travel and accommodations for team members, ensuring compliance with company policies and budget constraints.
  • You plan and organize client events, which include:
  • Selecting venues based on the number of participants and location requirements.
  • Making catering arrangements for meetings or events to accommodate attendees.
  • Setting up meeting rooms and ensuring they are restored to order following events.
Your profile
  • Possesses a minimum of three years' experience in a relevant role, ideally combining office management responsibilities with administrative support.
  • Demonstrates a strong capacity for independent and proactive work, requiring minimal oversight.
  • Exhibits exceptional time management abilities, skilled in prioritizing and handling multiple responsibilities efficiently.
  • Displays meticulous attention to detail and effective problem-solving skills.
  • Is adept in using Google Workspace (including Gmail, Calendar, Docs, Sheets, and Slides) as well as Microsoft Office applications like Excel and PowerPoint.
  • Has fundamental IT skills to offer internal assistance to colleagues.
  • Communicates effectively, both in writing and speaking, in English.
  • Holds a basic proficiency in French or Dutch, enabling effective interactions with suppliers and the acquisition of quotes.
