The European Committee for Standardization (CEN) (www.cen.eu) and the European Committee for Electrotechnical Standardization (CENELEC) (www.cenelec.eu) are looking for an Administrative Coordinator Governance to join the CEN-CENELEC Management Centre (www.cencenelec.eu). 
The organisation is ideally situated in 1040 Brussels and easily accessible by public transport. Functieomschrijving The five main responsibilities are:
Managing data in line with CEN and CENELEC rules and strict time frames:
  • Manual data entry in various databases upon internal/external requests:
    • Create and maintain information about standardization projects 
    • Create, assign and maintain users in the relevant platforms
    • Create and maintain specific groups’ structure in the relevant platforms
    • Archive justifications for modifications in line with internal rules and conventions 
  • Perform systematic data validation and use quality reports for monitoring data integrity.
Executing specific procedures in line with internal regulations and within strict time frames: 
  • Check projects information and launch procedures in line with the rules and within the set target dates 
  • Carry out review of related documents and in case of incoherences, correct them and/or coordinate with relevant experts for clarification
  • Review and quality check of own documents in line with specific checklists
Searching, analysing and transforming data into valuable business information 
  • Knowledge of the rules and their connection with relevant processes
  • Searching if data is available, complete and accurate
  • Analysing data against the rules in conjunction with existing records
  • Transforming raw data into meaningful, valuable and structured information to support informed decision making processes
Interacting with professionals from various technical fields, diverse backgrounds and levels of seniority
  • Seek advice and validation from relevant experts on projects and related decisions
  • Coordinate with internal and external parties in relation to the projects’ decisions
  • Coordinate with internal and external parties for managing relevant accesses and roles
  • Inform relevant parties on updates and answer questions about projects’ status
  • Trigger stakeholders for incoming data
  • First line support on application of business rules to be reflected in databases/platforms, including information/onboarding sessions on the use of databases/platforms
Contributing to the development of internal processes, including IT automation
  • Identify the needs and contribute to the definition of requirements for technical developments, including automation of data handling processes
  • Support the development of IT solutions, test them and contribute to post-deployment maintenance.
  • Contribute to the update of the Quality Management System for the relevant documentation (procedures, user manuals, forms, etc.)
A typical week encompasses a variety of tasks and responsibilities. 
This job requires:

  • the ability to understand rules and comply with them, whilst adhering to strict deadlines
  • curiosity to learn as the set of processes and rules evolve constantly
Although homeworking is possible for this function, this position requires an intensive face to face training for the first 6 to 8 weeks, where presence in the office will be required more than the compulsory one day a week. The training will involve pairing with fellow colleagues, which will be complemented by remote collaboration.

  • Have a Bachelor Degree with at least 1 to 2 year experience providing administrative services
