To bolster our Customer Success Team, We Invest Belgium (based in Brussels) is seeking a talented Customer Operations Manager, and we hope it’s you
**Key Responsibilities**:
**1. Onboarding New Agencies/Agents**:
- Lead the onboarding process for new agencies, ensuring a smooth transition and positive experience.
- Provide guidance and support to new agencies to facilitate their integration into our systems and processes.
**2. Customer** **Support Service**:
- Ensure customer satisfaction by delivering professional support, acting as the primary point of contact for user inquiries, and resolving issues promptly while maintaining continuous communication with clients.
- Define, implement, and refine customer support processes and tools. Document product, tool, process, and service utilization.
**3. Manage learning material**
- Create, develop and update training materials.
- Manage the library of legal documents.
**4. Administrative management and Invoicing and Payment Follow-Up**:
- Execute administrative tasks proficiently to ensure seamless operations. Maintain organized records and files related to customer operations.
- Supplier/Partner Coordination:Oversee follow-ups with business partnerships.
- Supervise customer invoicing and ensure timely payment tracking.
- Collaborate with the finance department to address payment-related matters.
**5. Customer Events Coordination and Annual Event Calendar Management**:
- Collaborate with the Head of Customer to co-organize customer events. Assist in planning event logistics and liaising with external suppliers.
- Manage the year-round calendar of customer events, coordinating with internal teams and external partners.
- Ensure accurate documentation and communication of events to our suppliers and clients.
**Who we are looking for**:
- 2 to 3 years of experience in a customer care role, preferably in a customer-focused setting.
- Proficiency in both Dutch and French is mandatory, both spoken and written.
- Strong organizational and time-management skills, with the ability to prioritize tasks effectively and multitask.
- Customer-centric mindset with a passion for delivering exceptional service.
- Excellent attention to detail and accuracy in work.
- Strong analytical and problem-solving skills, with a willingness to take initiative.
- Spelling and grammar proficiency.
- Experience in the real estate market (or a strong interest in the industry) is advantageous.
**Additional Requirements**:
- Excellent communication and interpersonal skills.
- Ability to work effectively independently and as part of a team. Flexibility to adapt to changing priorities and deadlines.
- Willingness to occasionally work outside of regular business hours to support events and onboarding activities.
