**Skills, knowledge, experience required**:
- Excellent general education at least to higher secondary level;
- At least 3 years' of professional experience of administrative and organisational duties;
- Knowledge of, and experience in budget and financial management;
- Proficiency in document management (workflow, quality control, and distribution;
- Familiarity with various software packages, in particular the Microsoft Office suite (Word, Excel, Outlook, PowerPoint, and SharePoint) or similar;
- Strong written and oral communication skills, including the ability to edit documents;
- Strong interpersonal skills, resilience, flexibility, drive for teamwork and capacity to work under pressure;
- Full proficiency in English.
**Duties/role**:
- Assisting the Change Coordinator during the Approved Service Interruptions process. Creating and maintaining a database of Services delivered (for example, phone extensions number) per customer;
- Actively managing services obsolescence, including customer engagement;
- Tracking SLAs and SSPs;
- Extracting simple Excel reports from EBA or from ITSM;
- Updating the Balanced Scorecard with the metrics extracted from EBA, ServiceNow, and ITSM;
- Reporting on services utilization;
- Preparing Monthly Business Reviews;
- Creating Purchasing Requests (PRs) in EBA;
- Monitoring the process to transform a PR into a Purchasing Order (PO);
- Updating the Contract Registry as soon as a PR or a PO is issued;
- Creating the monthly receipts in EBA for IWCs (Interim Workforce Capacity);
- Creating receipts in EBA for hardware, software, and services purchases;
- Liaising with the Acquisition/ECAM/Warehouse stakeholders for receiving hardware and software licenses;
- Performing recurring "Quality Checks" on the ServiceNow Plans, using a predefined Quality Checklist;
- Tracking Timesheet submissions and overseeing them;
- Liaising with the Project Managers for allocating proper funding.
