**Missie**:
De dagelijkse financiële administratie voor activa correct en op tijd uitvoeren in de juiste datasystemen en het resultaat(zowel inhoud als proces) en de daaruit voortvloeiende verbeteringen bewaken
**Taken**:
- Fungeren als eerste aanspreekpunt voor interne (asset onderhoud en Lineas) collega's en externe partijen (werkplaatsen, stations, klanten) met betrekking tot kaderaspecten van de Lineas asset vloot (d.w.z. financiën, claims en kostenbeheersing gerelateerd), zorgen voor duidelijke communicatie en escaleren in geval van problemen;
- De financiële administratie van de onderhoudskosten van wagons / locomotieven beheren, d.w.z. inkomende facturen verwerken, jaarbudgetten en contracten omzetten in PO's en PO's opstellen voor activiteiten en contracten die beheerd worden door de onderhoudsorganisatie van wagons / locomotieven;
- Tijdig controleren van alle wagononderhoudsgerelateerde kosten, door het controleren van de uitgevoerde onderhoudsactiviteiten, de bijbehorende documentatie (facturen en offertes) en werkplaatstarieven;
- Follow-up van de functionele mailboxen;
- Verbeteringen voorstellen voor kaderprocessen en procedures op basis van alle beschikbare informatie;
- Uitdagen van leveranciers op de kwaliteit van hun financiële stromen, uitwerken en implementeren van (gezamenlijke) verbeteringen om te komen tot een slanke administratie;
Specifieke werkzaamheden voor Finance
- Afhandelen inkomende facturen met betrekking tot onderhoud activa (wagons en locomotieven);
Jaarlijkse budgetten en contracten met betrekking tot asset (preventief en correctief) onderhoud omzetten in PO's;
Opstellen
- Opstellen van PO's en ontvangen van facturen voor activiteiten en contracten met betrekking tot onderhoud van activa en claims met betrekking tot reparatie van locomotieven en wagons;
- Beheren van voorfacturatie met betrekking tot diensten die in rekening worden gebracht aan derden in verband met claims voor wagonschade (bijv. (mobiele) reparatiewerkzaamheden en aanvullende diensten), waaronder het voorbereiden van de dossiers, het geven van instructies aan de backoffice Financiën voor het verzenden van de facturen en ervoor zorgen dat alle uitgaande facturen op tijd worden betaald;
- Verzamelen van gegevens voor het afhandelen van claims met betrekking tot wagenschade;
- Garanderen dat onderhoudsgerelateerde gegevens die nodig zijn voor de financiële administratie volledig en up-to-date zijn in databases (bijv. Echo, CIS, Navision, Datahaven);
- Beheer inkomende geschillen met betrekking tot gefactureerde diensten, inclusief het vinden van een oplossing om de geschillen opgelost te krijgen en het geven van instructies aan de backoffice Finance voor het uitgeven van creditnota's indien nodig;
- De werkelijke uitgaven versus het budget bewaken, het verschil analyseren en rapporteren aan alle betrokken belanghebbenden;
- Deelnemen aan optimalisatieprojecten met betrekking tot het verbeteren en standaardiseren van de financiële administratie, bijv. het optimaliseren van de traceerbaarheid van opgestelde PO's, uitgegeven ontvangsten en afgehandelde claims;
- Waar relevant, afstemmen met Finance en alle andere belanghebbenden.
