GL Events Live EU is the Brussels-based operational branch of GL events Live, dedicated to the European institutions and international organisations. The branch is fully integrated in GL events, the world leader group in event services with more than 5,000 events produced every year on five continents and over 40 venues managed around the world.

Combining the strengths of a strategic and operational event communications consulting agency and an event services provider, the Live division offers all expertise required to design, produce and stage your face-to-face, hybrid or digital events successfully.

We are now looking to reinforce our team with a project coordinator based in Brussels.

If you are passionate about event organisation, willing to learn, creative, dynamic, ready to work in an integrated team and to dive into event organisation for EU institutions, this position is for you.

**Responsibilities**:

- General project and contract management
- Coordination and reporting of specific projects
- Budget monitoring of the events
- Daily contact with clients (mainly within the EU Institutions and other international organisations)
- Coordination with service providers and suppliers, procurement procedures and negotiations with suppliers (hotels, catering, etc.)
- Coordination of the quality assurance of all services (including kick-offs, briefings, weekly meetings)
- Active participation to public procurement procedures (finding experts/writing proposals/budget calculations)
- Management of online registration and event platforms
- Management of travel and accommodation services
- Technical tests, rehearsals and event management during online or hybrid events

**Requirements**:

- A very good professional level of English and French is requested as all the tasks and internal meetings will be held in both languages.
- Excellent organisational and planning skills.
- Negotiation and communication skills.
- Proven organisation and delivery of online and physical event projects (conferences, meetings, webinars, seminars, roadshows) with networking and conference activities.
- Very well organised, curious, proactive and good at prioritising and handling challenging deadlines.
- Attention to detail and quality of services.
- Team work spirit.
- Focus on qualitative, creative and sustainable event services.
- A good command of Microsoft Office Word, Excel, PowerPoint, Outlook, Teams, etc. is also necessary.
- Experience in project management tools and processes.

**Desirable**:

- Other European languages than English and French are a plus.
- Understanding of the international political landscape.
- Knowledge in web design (HTML, WordPress) is a plus.

**Qualifications**:

- Master degree in a relevant field.
- At least 3 years of work experience in event management including online / hybrid events with a medium / large audience.
