Job Description:FRONT OFFICE
  • Ensuring that visitors and clients are welcomed in a friendly and professional manner.
  • Promptly answering incoming phone calls, mail and visitors and redirecting to the appropriate team member. Maintain electronic notes, inquiries, and status of communications.
  • Maintaining our client conference rooms and general office spaces and making sure that they are kept orderly, tidy and presentable.
  • Confirming that meetings are scheduled correctly and assisting with any needed rebookings.
  • Assisting with setting up conference rooms including providing refreshments, catering and anything else that might be required to ensure that the meeting runs smoothly.
  • Liaising with other Business Professionals teams as required to ensure meetings and events run in an orderly manner.
OFFICE SERVICES
  • Office tours for visitors and new joiners.
  • Assist with the organization and execution of internal and client events including logistical arrangements and coordination.
ADMINISTRATIVE SUPPORT
  • In addition to the office Team Assistant/s, provides some day-to-day administrative support to the lawyers in the Brussels office as needed. This involves direct communication with internal contacts as well as external clients.
  • Arranges, maintains and organizes appointments, schedules, calendars and e-mails.
  • Prepares documents including the creation/editing of some legal documents, spreadsheets, presentations, letters, memos and other correspondence.
  • Screens correspondence and maintains confidential files and records.
  • Completes other tasks as assigned or needed, including special projects.
  • The individual will need 3+ years' experience from a professional services background.
  • Must be fluent in English and must also be fluent in Flemish and/or French, preferably both.
  • Excellent organizational and time-management skills. Prioritizes tasks accurately and balances the demands of multiple concurrent tasks efficiently and effectively while maintaining a professional and courteous manner.
  • Takes ownership of role, using good judgement to make decisions and support direct assignments and members of the Business Professionals team.
  • Highly motivated individual who strives for the best level of service.
  • Excellent written and oral communication, ability to work and communicate with people at all levels.
  • Ability to work in a demanding and busy environment whilst maintaining a calm and professional demeanor.
  • Ability to identify where help is needed and provide assistance in a timely manner using initiative and common sense.
  • Ability to take ownership of the role, use good judgement to make decisions and support all members of the community.
  • Excellent working knowledge of Microsoft Office.
  • High level of integrity, confidentiality and professionalism.
