For one of our clients, a service company located in the heart of Brussels, we are looking for an Executive Assistant & Office Manager. As an Executive Assistant & Office Manager, you will report to the Managing Partner and support the Management Team. You will also be responsible for the office management, acting like a central point for all support-related matters.

In this brand-new position as an Executive Assistant & Office Manager, you will be responsible for:

  1. Managing calendars and organizing meetings (virtual meetings, conference calls, appointments);
  2. Preparing contracts, meetings dossiers and correspondence with clients, officials, and other stakeholders;
  3. Assisting with the organisation of events (agenda, invitations, logistics);
  4. Organizing business travels from A to Z (hotels, transport, restaurants, etc.);
  5. Maintaining the filing system and the database up to date;
  6. Ensuring a smooth running of the office: general office support (office facilities & supplies, maintenance of equipment, etc.), logistics around meetings and office activities, day to day communications, etc.;
  7. Providing support with marketing documentation & materials: prepare, edit and translate documents and presentations, archive documents, etc.

The ideal profile of the Executive Assistant & Office Manager:

  1. You have at least 5 years of relevant experience in a similar position, ideally in a legal, professional services, financial services or client service-oriented environment. An experience working with EU institutions/affairs will be also considered an asset.
  2. You have an excellent level of English (both written and spoken) combined with a good command of French. A knowledge of Dutch and/or Russian is a strong plus.
  3. You have a very good command of the MS Office package.
  4. You have excellent communication, organizational and multitasking skills.
  5. You are flexible, service-minded, solution-oriented and self-motivated.
  6. You are looking for a dynamic and challenging work environment in an international context.
