**Your responsibilities**:
- **Administrative tasks **such as encoding incoming mail, invoices and bills, acting as main point of contact with suppliers and others, sending out and following up on invoices, minimum bookkeeping (in cooperation with an external accountant) and supervision of accounts, making payments online, updating the database of contacts, supporting the activities of the organisation related to General Data Protection Regulation (GDPR) compliance.
- **Organisation of (small) events** including the booking of meeting rooms or support for online webinars, dealing with registrations. Support the preparation of the Association’s yearly General Assembly (max 80 participants) and occasional larger public conferences in Brussels.
- **Minimum travel organization,** mainly for the Secretary General (including dealing with encoding of reimbursement of expenses) and occasionally for the Regulatory Affairs Managers
- **Communication**:If you have not only an administrative but also a creative mind then you could also do the following tasks... Regular website updates and uploading documents on intranet, occasional work on visuals such as infographics or PowerPoint presentations, occasional use of social media (twitter, LinkedIn,...) and other communication tools.
- You can offer **basic IT support **as well. Such as for Sharepoint connection issues, printer and intranet. For larger IT issues you work with an external supplier.

**Your profile**:
- You have a relevant training/graduate degree in secretarial/administration field
- You have a ???minimum of one year experience in administrative or secretarial work, with a requisite of attention to details and accuracy
- Good interpersonal skills: you should be able to communicate with people from different European countries with a polite and client-focused attitude
- Fluency in English is a minimum requirement, as well as a good working knowledge of French or Dutch in order to deal with Belgium-based suppliers
- You like working in an international environment and you are super enthusiastic
- You are able to take the lead in the administration of the office and you are precise with invoices and bookkeeping and you can support a team of young European affairs professionals
