As a Front Office assistant / Receptionist for our client, a global consulting company, active in the field of business strategy, located in center of Brussels close to the central train station, you will be responsible together with your colleague for welcoming visitors and clients. You will also have a wide range of administrative responsibilities such as providing support to the operations/facility team and ensuring the necessary coordination of meetings, catering and events in the office.

**An overview of your responsibilities**
- Welcoming visitors, customers and staff whilst always being client friendly and professionally
- First point of contact for many stakeholders (ranging from suppliers to CEO’s and from junior to senior staff members).
- Close cooperation with the colleagues within the Operations team: you work together with the both the events and facility coordinators and logistics team for the daily workings of the reception.
- Provision and coordination of badges
- Answering the internal and external phone system
- Processing the reception mailbox
- Processing incoming and outgoing mail and courier shipments
- Organizing catering for meetings and reviewing/approving related invoices
- Approving and controlling meeting room bookings
- Follow-up the performance of the cleaning team
- Scheduling and follow-up on maintenance of company cars
- Ordering taxi services
- Parking management
- Providing administrative support to other teams
- Assist the operationsteam in the coordination of meetings and events at the office.

**What we expect from you**:

- You preferably have **experience** as a receptionist or similar position. You have a positive "can do" attitude and willingness to always help colleagues.
- You have an **excellent knowledge of English**, as it is the most common spoken language within the company. In addition, you have knowledge of Dutch and/or French.
- **Client oriented and highly professional attitude**: the front office assistant is someone who is able to read the person they’re dealing with, who always exhibits an excellent professional attitude, both in behavior as well as in personal presentation.
- **Communication**: as we’re dealing with high level customers, communication both non-verbal and verbal should always be respectful, polite and correct.
- **Coordination**: as this function entails much more than standard receptionist tasks, a strong skillset including a smooth coordination and cooperation with multiple actors is necessary.
- **Stress-resistant**: as mentioned above, this is a busy, rapid work environment where a lot of different pieces of information need to be puzzled together rapidly at times. It’s therefore essential to be resistant to stressful times.
- **Efficiency & proactiveness**: In these fast pace surroundings, there’s freedom for the assistant to create their own ways of workings by thinking out of the box and proactively. An efficient and critical mindset is encouraged.
- **Elegant professional clothing is obliged**:

- **IT knowledge**: Outlook, Word and Excel skills should be above average.

Current work address is Brussels city centre. Our client is located right by the central train station.

Our client’s reception is open from Monday until Friday as from 08:00 until 19:00. The reception is covered by two persons. We are looking for a person working in the following timetable:

- Monday and Tuesday: 08:00-16:00 (24min pause)
- Wednesday, Thursday and Friday: 11:00-19:00 (24mins pause)
- Fulltime contract of 38h/week
