As our Payroll & HR Officer you’ll works directly with the HR Manager BE, the HR Team based in UK and France and the Operations Team based in the Belgium office or partially remotely.

In this integral role, you’d be responsible for administering day to day human resources services in order to meet the business goals and providing support to the Belgian staff (incl. SNCB secondees) in the various human resource functions. This may include pay calculation, benefits, general administration, health and safety, guidance on internal policies and procedures, information on training needs and opportunities. The position also coordinates the staff recruitment process.

**Key responsibilities include:
- Ensure all payroll processes are completed accurately and on time for both EIL and SNCB secondees population; Ensure that payments are made on time as per employee’s contract/SNCB deadlines;
- Make sure payroll processes comply with Belgian Employment law/SNCB internal process and reduce risks of control of Official Bodies or extra fees;
- Provide first-line assistance with HR queries from employees including advising on employee benefits and pay queries; provide information and assistance to staff on HR and work-related issues;
- Ensure all benefit systems and processes are administered accurately with relevant timeframes in accordance with appropriate legislation. This may include company car management, insurance schemes, bonus etc. Provide advice and assistance to staff and management on pay and benefits systems;
- Assist in the management of absence across the business by processing absence monitoring forms, recording the detail on HR database and liaising with payroll as required;
- Monitor scheduled absences such as holidays, leaves and travel and coordinate actions to ensure the staff absence has been adequately covered off.
- Provide assistance to the HR Manager and Operations Team on disciplinary actions;
- Work together with the HR Manager and the Safety team on Health & Safety, ensuring compliance with local law and regulations;
- Administer all PO’s and ensure invoices are paid on time, maintaining good relationships with suppliers and answer their queries;
- Manage the archives and office supplies, making sure that stocks are maintained at a satisfactory level
- Prepare and maintain personnel records and ensure that all employee personal folders contain mandatory and necessary documents.
- Administer and coordinate the medical visits agenda;
- Actively work on policies and procedures and ensure they are communicated to the teams;
- Actively work on corporate HR projects and policies together with other EIL dept.

**Requirements**:
**You’ll need to have/be**:

- A degree in relevant field such as Law, Human Resources or Finance or equivalent work-based experience
- Substantial experience in similar role within a HR/Payroll function
- Ability to prioritise workloads and meet tight deadlines
- Strong HR administrative and organizational skills
- Ability to effectively communicate at all levels, good listener, calm manner and clear speaker
- Strong personal integrity
- An excellent knowledge of Microsoft Office (Word/Excel/Outlook)
- Own initiative, showing attention to detail and customer focus
- A professional, friendly manner, approachable, polite, and able to work under pressure, enthusiastic, committed to working with their team to maintain a positive team spirit
- A methodical, analytical and clear approach to problems
- French speaker with excellent command of English. Knowledge of Dutch is a real plus.
- Experience working within an international organisation is desirable
