Workplace Operations, Front of House and Events

**WHAT YOU'LL DO**:
The role of the Workplace Operations, Front of House and Events Manager (Facility Manager) is an exciting opportunity for a leader who can combine tactical vision with relentless focus on delivering best-in-class facilities and services at the local office level.
**What you’ll do**
The right person for this role will be capable of driving impact and leading with integrity wherever the business needs them most. While the responsibilities of this role will be in line with the needs of the office, examples of responsibilities will include:
**Workplace Operations**:
- Manage and lead the Facilities Management function focusing on key service delivery and a prestige working environment. Directly line manage a team of 2 Logistics team members. Hold regular check-ins, coach and encourage team and individual development.
- Manage all Facility related contracts in Brussels in conjunction with the Senior Operations Manager ensuring SLAs and KPIs are adhered too. Hold regular account meetings ensuring we have the highest service delivery
- Actively contribute to special projects and large-scale office programs (e.g. office renovation)
- Contribute to the Digital Operations transformation program for Brussels. Focusing on design, content, and technical evaluations - team collaboration and innovation across one BCG
- Manage and oversee the CAPEX and OPEX projects - Including regular budget reconciliation meetings with the Finance team. Annual OPEX budget management with the senior Ops leadership team and key stakeholders
- Health & Safety responsible person for the Brussels office (organizing the mandatory first aid training, risk assessment, accident and near miss investigation)
- Active member of the Incident Response Team, regularly updating IRT documentation and organizing the bi-yearly table-top exercises
- Ensure that regulatory requirements, BCG policy and process changes are implemented
**Front of House & Events**:
- Directly line manage the Events & Facilities coordinator. Hold regular check-ins, coach and encourage team and individual development
- Manage front of house/ reception services that provide exceptional experience for all visitors and employees
- Own and operationalize room booking and catering technology solutions
- Manage operational relationship with hospitality and catering suppliers for day-to-day office needs in addition to all meeting and events requirements
- Manage shorter
- and longer-term view of demand of office meetings and events to ensure high quality events
- Proactively manage any issues on event days and last-minute changes to bookings
- Regular meetings with building reception to ensure a smooth visitor journey is experienced by all guests and safety for all is maintained
- Work very closely with IT and Logistics teams to ensure all tech aspects of the building and meeting rooms are operating
- Assist with space planning and management for teams, visitors from other offices and new joiners
**Other responsibilities**
- Design and implement concepts for optimizing internal services and improving internal processes between in-house services
- Encourage collaboration and innovation to be more productive as a team
- Participate in onboarding of new joiners, completing office tours and presentations to welcome all new joiners for onboarding sessions
- Champion recycling and energy efficiency strategies to align with the company's carbon neutral targets
- Numerous ad-hoc tasks and requests as required
**YOU'RE GOOD AT**:
As a Workplace Operations, Front of House and Events Manager, you will be comfortable alternating between people management, supplier management and a relentless focus on detail for the many nuances of facilities and events management. Key qualities include:
- High attention to detail to ensure that all aspects of facilities and events management are run in a responsible way
- Direct line management experience is essential
- Ability to assess technical and financial information across service provision and budgets
- Supplier relationship management
- Knowledge and experience in planning and coordinating corporate events in varying sizes
- Flexible approach and ability to manage conflicting priorities
**YOU BRING (EXPERIENCE & QUALIFICATIONS)**:
- Bachelor degree
- Strong technical knowledge in a range of building services disciplines across facilities or estate management working across In-house and outsourced providers
- Knowledge of health and safety obligations, and experience in all practical aspects of deploying health and safety compliance
- Role model with strong values, a positive outlook and professional approach
- Professional services experience preferred
- Confident user of the Microsoft Office Suite
- Fluent in written and spoken English, Dutch and French
