Job Description
Our company is looking for an part-time Office Manager to be responsible for the general operation of our office in Brussels. As an Office Manager at Altares - Dun & Bradstreet you are responsible for; greeting visitors, answering incoming phone calls, purchasing office supplies and taking proper inventory. The Office manager will support the business by managing fleet and facilities, and will replace the Office Manager Benelux, during her absence.
The Office team consist of 2 Office assistants, a Senior Technical Facilities Manager and an Office Manager Benelux. Together you will be managing the Office department for the Benelux.

Main Responsibilities
- Fleet management: being the escalate of contact for all matters. This also includes the definition of fleet management process, being the main SPOC for lease companies and employees. This also includes parking and all kind of transportation requests;
- Responsible for facilities: business cards, ordering flowers, office keys, office supplies and other activities;
- First point of contact for building maintenance and liaising with building owner and stakeholders;
- Partner with HR to maintain office policies as necessary;
- Coordinate with IT department on all office equipment;
- Booking of transport and accommodation;
- Provide general support to visitors;
- Participate actively in the planning and execution of company events;
- Supporting marketing on events;
- Contact person for the cleaning and building management. Executing building rounds to pro-actively signal errors in services and/or building defects;
- Manage relationships with local suppliers;
- Responsible on daily basis for the mail.
Requirements & Profile
- Proven Office & Fleet management experience for minimum of 3 years in an international organization;
- Energic professional who does not mind wearing multiple hats, able to work independently with little supervision;
- Good communication skills, both verbally and in writing in Dutch and English (French is an advantage);
- Knowledge of MS office and other common software programs;
- Excellent time management skills and ability to multi-task and prioritize work;
- Trustworthy and reliable in handling confidential information;
- Strong organizational and planning skills;
- Stress resistant and pro-active thinking.
