We are looking for an **Office Manager & People Operations **to join our second-stage rocket ship

Based in Brussels, you will have a central position in the Employee Experience team. You will be responsible for creating an amazing workplace environment in our Brussels office (made of 80 people) by coordinating different projects to further develop our company culture. You’ll also play a key role in AppTweaks’ expansion in ensuring smooth and effective HR operations in Belgium.

This is an ideal position for an organized, detail-oriented & motivated individual who would like to learn in an international and fast-moving environment.

You’ll report directly to Madeleine, the Head of talent.

Your Responsibilities:
**Office**:

- Make sure AppTweak’s employees are working in the best environment possible by managing all day-to-day activities of our Brussels office (supplier services, office organization, furniture, etc.) and addressing employees’ requests.
- Activate the company culture by participating in internal events organization (workshops, team buildings, yearly company seminars, etc.)
- Support the organization of business trips by giving clear guidelines and recommendations to employees traveling abroad.

**HR Operations:
- Prepare employment contracts, addendums, and other HR-related documents in compliance with local laws and company policies.
- Manage end-to-end payroll processes for employees in Belgium ensuring accurate and timely payments.
- Handle employee benefits programs (health insurance, holidays, mobility budget, etc.) in alignment with requirements and AppTweak policies.
- Be the main point of contact for employees regarding people operations topics; providing guidance, advice, and resolutions.
- Maintain accurate employee records and HR databases, and generate reports as needed.
- Become the “Person of Trust” for our Belgian Office: mandatory confidential advisor for all Belgian companies above 50 people. You will be trained in that role if you haven’t been in your past experiences.

**Security**:

- Participate in the administrative onboarding for new hires, by managing AppTweak assets fleets (Laptops, Phones, Cars, bikes, badges, Keys, network equipment, etc.) and by helping them in their first days at the office.

**Must-have**
- Bachelor's degree in Executive Assistant, Business Administration, HR or any other relevant field.
- Fluent in both French & English.
- A first experience in a similar role or in a start-up environment (ideally in an international and multi-local company).
- People-oriented: you enjoy working with others.
- Autonomous, you have a proactive attitude and you like to make things move forward.
- Well-organized, detail-oriented with great analytical skills.
- Proven ability to manage multiple priorities and projects.
- Not afraid to take initiative or wear multiple hats.
- Strong active listening skills, and the ability to interact with a broad set of people in a tailored approach.
- Reliable team member, with a strong ethic in regards to information confidentiality.
- Proficient with Productivity tools (ex: Office/Google Suite; Excel, etc.)

- You have already completed the Training Person of Trust - or you are willing to follow it.
