**Organisation**

ILSI Europe is the European Branch of the International Life Sciences Institute (ILSI), a global, non-profit federation. Our mission is to convene the best scientists from academia, industry & public sector to deliver, communicate and disseminate science-based solutions. These solutions ensure that foods are safe, nutritious and sustainable. The ILSI Europe portfolio consists of projects initiated and supported by Task Forces, and of EU-funded projects. ILSI Europe activities are coordinated by a multi-cultural staff of 10 people.

**Mission**

The Accounting & Office Assistant (AOA) supports ILSI Europe administratively accounting, office and HR matters. The AOA supports the team in its mission and to achieve the agreed objectives. The AOA ensures that the works meets the quality expectations.

**Responsibilities**
- 1._ _Accounting (60%)_
- Carry out the organisation’s accounting tasks & keep cost accounts
- Prepare and monitor payments
- Encode incoming invoices
- Record automated bank statements
- Prepare invoices and credit notes
- Prepare the budget and monitor it with Excel reporting
- 2._ _Administration and office (25%)_
- Interact directly with suppliers and service providers as focal point;
- Provide occasional support for the organisation of events, including scheduling, sending invitations, arranging meeting spaces, travel and accommodation for invited experts or members;
- Provide logístical support for the organisation’s governance committees (Board of Directors, General Assembly, Scientific Advisory committee) and take meeting minutes;
- 3._ _Human Resources (15%)_
- Interact with the organisation’s social secretariat regarding salaries, payslips, leave requests, meal vouchers orders, drafting contracts, well-being at work policies, etc.;
- Support the administration of new contracts for employees, consultants, and interns, and ensure the efficient and timely management of ongoing contracts;
- Support the recruitment & selection process;
- Monitor changes in the Belgian legislation (e.g., salary indexation, workers’ protection, etc.), provide relevant updates to the team, and implement necessary changes and requests from Belgian authorities in the Working Guidelines and/or HR policies;
- Deal with employee’s requests regarding human resources issues, rules, and regulations;
- Organise the internal staff meetings

The job description gives a general outline of the main tasks and responsibilities and is not exhaustive. As a polyvalent position, it includes the possibility to contribute to other ad-hoc projects and support your teammates as necessary.

**Reporting & supervisory relationships**

The AOA reports to and is supervised by the Executive Director (ED).

**Profile, experience and skills required**
- Degree in Office Administration and Management or equivalent work experience that covers the tasks outlined above;
- Minimum 1 year of relevant experience in a similar position, ideally in a multi-cultural, NGO environment, as well as in project management;
- Experience in accounting;
- Knowledge of Belgian employment policies and laws is a plus;
- Good literacy/numeracy skills & good IT skills (Microsoft 365, etc.);
- Ability to manage a wide range of tasks, deal with priorities, work in a fast-paced environment and be adaptive;
- Strong organisational and multi-tasking skills;
- Strong team and constructive spirit, with eagerness to contribute to common objectives;
- Ability to work to deadlines and follow-up on tasks - comfortable in setting and sticking to own deadlines and responding to others’;
- Ability to work independently and propose new actions when appropriate;
**Conditions**
- 1 year contract (12 months), extension intended;
- Working language**:English and French are a must**;
- Place of work: ILSI Europe is located in Brussels. The role is expected to be fulfilled partly in the office and partly from home **(address in Belgium).**:

- Applicants must - due to legal reasons - **hold EU citizenship or a valid EU residence permit, and a valid Belgian or EU work permit.**
