The European Parliamentary Forum for Sexual & Reproductive Rights (EPF) is recruiting an Administration and Finance Assistant for a full-time position in Brussels.

About EPF

EPF is a network of members of parliaments from across Europe who are committed to advancing sexual and reproductive health and rights for all in Europe and beyond. At EPF, we believe that women should always have the right to decide upon their sexual and reproductive rights, including the number of children they wish to have, the time and spacing and should never be denied access to these rights.

Key Responsibilities

EPF’s general administration/HR and support all administrative duties to ensure the smooth day-to-day running of the office, including:

  1. Provide support to create, compile and update administrative and legal documents as necessary.
  2. Serve as the focal point for staff in terms of service providers including IT support, Social Secretariat, insurance companies, etc.
  3. Manage office resources, including supplies and equipment.
  4. Occasional logistic support for EPF events.

EPF’s finance and accounting:

  1. Enter accounting data and prepare database extractions as needed.
  2. Process per diem calculation and payments.
  3. Ensure that the external accountant has up-to-date financial information, that invoices are processed, and payments are prepared on time.
  4. Help compile annual reports and audited accounts.
  5. Work closely with Finance and Programme Coordinator to provide mutual support when needed.

Support EPF’s Executive Director:

  1. Assist with the management and upkeep of the ED’s calendar.
  2. Provide administrative and technical support to the ED including correspondence, minute-taking, and liaising with external partners, actors and suppliers.
  3. Assist with the Executive Director’s travel and related logistics.
Skills & Qualifications
  1. Relevant university degree or equivalent work experience in administration, financial and human resources support.
  2. Strong numerical and financial skills and familiarity with associated software, including good knowledge of MS Excel.
  3. Fluent in French and a good level of English.
  4. Experience in coordinating service providers.
  5. Impeccable attention to detail; flexible, proactive and resourceful with good organisational skills and the ability to manage competing priorities.
  6. Willing to travel occasionally.
  7. Commitment to EPF’s vision and mission.
  8. Must be able to legally work in Belgium.
  9. Familiarity with Non-Governmental Organizations, especially with Belgian AISBL.
